Location: Houston, TX 77054 (Fully Onsite)

Pay Rate: $27/hr - $30/hr

Assignment Length: 1-Month Temporary Assignment (Potential Extension)

Schedule: Monday-Friday | 8:00 AM-5:00 PM

Dress Code: Business Casual

Position Overview

We are seeking a highly professional Executive Office Specialist to provide executive-level support to the Chief Executive Officer (CEO), Executive Leadership Team, and Board of Directors. This role serves as a key liaison between executive leadership, board members, internal departments, and external stakeholders.

The ideal candidate is an experienced Executive Assistant or Executive Office professional who thrives in a fast-paced environment, operates with exceptional attention to detail, and demonstrates outstanding written communication and organizational skills. This position requires discretion, professionalism, independent judgment, and the ability to anticipate executive needs.

This assignment is covering an employee currently on leave. While initially expected to last approximately one month, the duration may be extended based on business needs.

Key Responsibilities

  • Provide direct administrative support to the CEO and Executive Leadership Team.

  • Serve as the primary administrative liaison to the Board of Directors and board committees.

  • Coordinate board meetings, retreats, special events, and executive functions.

  • Prepare and distribute board packets, agendas, meeting materials, minutes, and executive correspondence.

  • Maintain confidential executive and board records, documents, resolutions, and governance materials.

  • Coordinate onboarding and communication with board members and committee chairs.

  • Prepare executive presentations, briefing materials, talking points, reports, and slide decks.

  • Manage complex calendars, scheduling, travel arrangements, itineraries, and expense reporting.

  • Support organizational communications, publications, special projects, and community initiatives.

  • Assist in coordinating agency-sponsored events and executive projects.

  • Receive, prioritize, and communicate information effectively with internal and external stakeholders.

  • Maintain strict confidentiality while handling sensitive organizational information.

Required Qualifications

  • Minimum 3-5 years of executive-level administrative support experience.

  • Previous experience supporting a CEO, Executive Director, President, or senior executive leader.

  • Experience coordinating Board of Directors meetings and board-related activities.

  • Strong calendar management, meeting coordination, and executive support experience.

  • Advanced Microsoft Office 365 proficiency.

  • Exceptional written and verbal communication skills.

  • Strong organizational, prioritization, and multitasking abilities.

  • Ability to work independently and exercise sound judgment.

  • Proven ability to manage confidential information with discretion.

Preferred Qualifications

  • Associate's or Bachelor's degree strongly preferred.

  • Experience within nonprofit organizations, community services, housing authorities, education, government, or quasi-government environments.

  • Prior experience supporting executive leadership within a mission-driven organization.

  • Administrative Assistant certification is a plus.
