Executive Operations Coordinator

Location: Mesquite, Texas
Reports to: Chief Executive Officer
Compensation: $60,000 to $70,000, plus bonus eligibility
Position Type: Full-time, on-site

About the Role

The Pickle Juice Company is seeking an experienced, resourceful, and highly adaptable Executive Operations Coordinator to serve as a force multiplier through close partnership with the CEO and executive leadership team.

This role combines meaningful executive support with company-level project execution, process improvement, technology adoption, employee experience, and office operations. The successful candidate will anticipate needs, operate independently, exercise sound judgment, and help translate company priorities into coordinated action.

This is not a traditional Executive Assistant role centered primarily on scheduling and administrative support. It is also not a Chief of Staff role responsible for shaping strategy or operating as a member of the executive leadership team.

The position sits between those roles. It requires the service orientation and attention to detail of an accomplished executive support professional, together with the project ownership, curiosity, and tactical execution skills of an effective operator.

The position works broadly across the company, but its priorities are established through its direct reporting relationship. This allows it to remain focused on work that creates the greatest leverage rather than becoming a general resource for responsibilities that belong within another department.

Key Responsibilities

Executive and Leadership Support

  • Anticipate needs and remove administrative or operational friction
  • Coordinate meetings, materials, action items, communications, and follow-up
  • Conduct research and prepare presentations, briefings, and business documents
  • Track priorities, commitments, deadlines, and next steps
  • Improve the systems used to organize information and maintain momentum
  • Handle confidential information with discretion and sound judgment

Company-Level Projects

  • Own projects that cross functions or do not have a natural departmental owner
  • Convert broad objectives into clear plans, timelines, and deliverables
  • Coordinate participants while respecting departmental responsibilities
  • Identify worthwhile improvement opportunities and present practical recommendations
  • Maintain momentum, solve routine problems, and elevate decisions when appropriate
  • Follow projects through implementation and confirm results

Process Improvement and Technology

  • Identify inefficient processes, recurring friction, and unnecessary manual work
  • Research tools, AI applications, automation, and business systems
  • Recommend solutions based on cost, usability, risk, and expected impact
  • Help implement approved solutions and support adoption
  • Document repeatable processes so problems solved once remain solved

Culture, Employee Experience, and Office Operations

  • Coordinate employee recognition, anniversaries, staff events, and company meetings
  • Support onboarding and other employee-experience initiatives
  • Serve as an approachable resource for routine administrative questions
  • Help ensure the office operates smoothly and professionally
  • Coordinate supplies, vendors, services, and routine facility needs
  • Help communicate company information clearly and constructively
  • Route specialized matters to the appropriate functional owner

Preferred Qualifications

  • Five or more years of relevant professional experience
  • Experience in executive support, operations, project coordination, process improvement, office management, or employee experience
  • Experience working directly with a business owner or senior executive
  • Demonstrated success taking projects from an unclear starting point through implementation
  • Strong Microsoft 365 proficiency
  • Interest or experience in AI, automation, and productivity tools
  • Experience in a growing, privately held, manufacturing, CPG, logistics, or distribution company is helpful

A specific degree or career path is less important than demonstrated judgment, initiative, adaptability, and consistently strong execution.
