Description

Overview:

The Executive Operations Coordinator serves as a key member of the Middlesex County Surrogate’s Office leadership team and provides direct operational, administrative, analytical, and community engagement support to the Surrogate. This position functions as the primary operational liaison for the Surrogate, helping coordinate office operations, workforce administration, appointment scheduling, financial and statistical reporting, community outreach initiatives, constituent-facing programs, executive projects, and special events.

 

Schedule: Monday-Friday 8:00 am to 3:45 pm (Must be flexible and willing to work outside of regular business hours and weekends if necessary.)

Location: New Brunswick, NJ

Department: Surrogate's Office

Responsibilities:
  • Operations management, workflow oversight, and process improvement.
  • Revenue tracking, financial reporting, and operational data analysis.
  • Payroll coordination, attendance monitoring, leave administration, and staffing support.
  • Oversight of appointment scheduling to maximize constituent access and service capacity.
  • Executive support to the Surrogate, including scheduling, presentations, memoranda, and project follow-up.
  • Coordination of community outreach programs, educational events, and speaking engagements.
  • Acting as a liaison between the Surrogate, county departments, community organizations, and external stakeholders.
  • Inventory, procurement, and event resource management.
  • Constituent service coordination and follow-up.
  • Support of strategic initiatives and organizational performance improvement efforts.
Qualifications:
  • Bachelor’s degree in Business Administration, Public Administration, Accounting, Finance, Communications, Management, or a related field.
  • Three to five years of experience in operations, executive support, project coordination, administration, finance, public administration, or a related field.
  • Government experience preferred but not required.

Required Skills and Qualifications

  • Advanced Microsoft Excel proficiency including pivot tables, formulas, dashboards, and reporting.
  • Strong analytical, financial, and quantitative skills.
  • Excellent organizational and project management abilities.
  • Exceptional attention to detail and follow-through.
  • Strong written and verbal communication skills.
  • Ability to draft professional correspondence, presentations, and intergovernmental memoranda.
  • Ability to manage multiple priorities while maintaining confidentiality and professionalism.
  • Must be flexible and willing to work outside of regular business hours and weekends if necessary.

The anticipated starting base pay for this position is:

  • $55,000 - $75,000 per year, depending on experience and qualifications.
