Responsibilities
- Manage and maintain the executive's calendar, including scheduling meetings, appointments, and personal commitments
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
- Serve as the primary point of contact between the executive and internal/external stakeholders, handling communications with discretion
- Monitor and manage incoming communications (email, phone, etc.), prioritizing urgent matters and summarizing key information
- Track deadlines, action items, and follow-ups to ensure timely execution of tasks
- Prepare reports, presentations, correspondence, and other documentation as needed
- Organize meetings, including preparing agendas, materials, and recording notes when required
- Maintain confidential records, files, and sensitive information with a high level of integrity
- Assist with project coordination, special initiatives, and administrative processes
Personal Assistant Responsibilities:
- Manage personal scheduling, errands, and household-related tasks (appointments, reservations, etc.)
- Coordinate family logistics, events, and activities as needed
- Oversee vendors, service providers, and personal engagements
- Provide flexible, on-call support outside of standard business hours when required
Qualifications
- Minimum of 3-5+ years of experience supporting senior executives in an administrative or EA/PA capacity
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Proven ability to maintain confidentiality and exercise sound judgment in sensitive situations
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new systems quickly
- Excellent written and verbal communication skills
- High level of attention to detail and problem-solving ability
- Self-starter with a proactive mindset and strong follow-through
- Ability to work independently and adapt in a fast-paced, changing environment
Pay Details: $75,000.00 to $85,000.00 per year
