Executive Recruiting Coordinator

Overview

We are seeking an experienced Executive Recruiting Coordinator to support a high-performing Executive Recruiting team and deliver a best-in-class candidate experience. This role is responsible for coordinating complex executive interview schedules, managing recruiting logistics, and serving as a key partner to recruiters, candidates, and hiring leaders. The ideal candidate thrives in a fast-paced, matrixed environment, takes ownership of processes, and consistently delivers a white-glove experience.

  • Location: Chicago, IL (300 E. Randolph Street)
  • Hybrid: 3 days onsite, 2 days remote
  • Shift Time: Standard day 
  • Pay Rate: $32–$35/hour with benefits 

Responsibilities

  • Coordinate interview scheduling and logistics for executive-level candidates.
  • Manage calendars, meeting invitations, conference rooms, and virtual meeting details.
  • Create and distribute professional interview agendas to candidates and interview teams.
  • Maintain accurate candidate records and status updates within the Applicant Tracking System (ATS).
  • Partner closely with Executive Recruiters to ensure a seamless scheduling process.
  • Serve as a primary point of contact for candidate scheduling requests and inquiries.
  • Build strong working relationships with recruiters, hiring managers, and business stakeholders.
  • Identify opportunities to improve recruiting coordination and scheduling processes.
  • Support recruiting projects, administrative tasks, and other talent acquisition initiatives as needed.
  • Deliver a high-touch, five-star candidate experience throughout the hiring process.

Required Qualifications

  • 3+ years of Recruiting Coordinator experience.
  • Experience supporting executive recruiting or senior-level hiring initiatives.
  • Strong interview scheduling and calendar management experience.
  • Experience using Applicant Tracking Systems (ATS).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Self-motivated, resourceful, and able to work independently.
  • Positive, professional, and customer-service-oriented mindset.

Preferred Qualifications

  • Experience in a large, matrixed corporate environment.
  • Experience with Workday ATS or similar recruiting technologies.
  • Proven ability to improve recruiting processes and operational efficiency.
  • Strong stakeholder management and relationship-building skills.
  • Experience delivering a high-touch executive candidate experience.
  • "Go-getter" attitude with the ability to take ownership and drive results.
