Position SummaryPenda Aiken Inc. is a staffing firm located in Brooklyn, New York. Our client is a New York State Agency located in Albany, NY, and is seeking a detail-oriented Administrative Assistant to join their team.
This is a fast-paced role requiring high reliability, punctuality, and the ability to meet strict deadlines while maintaining meticulous attention to detail.
Primary Responsibilities
Data Entry & Management: Perform data entry accurately and promptly into agency databases and proprietary computer systems; learn and adapt to new software quickly.
Document Preparation: Prepare professional correspondence, forms, or other documents in draft and final form using information obtained in the agency's databases and files.
General Office Support: Complete general office duties including but not limited to filing, answering telephones, copying, scanning, operating standard office machinery, e-faxing, and opening, distributing, and sending postal mail.
Collaboration: Work well with others, including individuals with developmental disabilities, in an inclusive office environment.
Confidentiality: Maintain strict confidentiality of all sensitive information and adhere to HIPAA guidelines at all times.
Task Management: Prioritize responsibilities and multi-task effectively to meet daily operational needs.
Minimum Qualifications
Software Proficiency: Proof of proficiency in and daily use of Microsoft Office (Word, Outlook, and Excel).
Typing Speed: Proof of a minimum 35 WPM typing speed.
Experience: Professional verbal and written communication skills as demonstrated by prior office experience with previous employers.
Core Skills: Proven ability to learn new databases and manage multi-task administrative priorities effectively.
Compliance: Strong understanding of HIPAA guidelines and handling confidential files.
Preferred Qualifications
Experience using Crystal Report Designer.
Familiarity with New York State systems such as WMS, eMedNY, ePACES, or other NYS OTDA/Medicaid databases.
