Executive Secretary / Administrative Assistant

Jennifer Temps is seeking a detail-oriented and organized Executive Secretary / Administrative Assistant to support daily office operations in a fast-paced professional environment in Kingston, NY. This role is ideal for candidates with strong administrative, communication, and multitasking skills who can efficiently manage a variety of clerical and customer support functions

Your Tasks

  • Manage multiple administrative and clerical tasks simultaneously
  • Perform data entry and maintain electronic filing systems
  • Schedule appointments and coordinate calendars
  • Answer customer inquiries and provide front desk support
  • Process applications, incoming mail, and correspondence
  • Scan, fax, email, and organize documents
  • Support virtual services using Zoom and Microsoft Teams
  • Maintain accurate records and ensure document organization
  • Assist with general office operations and administrative projects
Our requirements

Minimum Qualifications
  • High School Diploma or equivalent
  • Experience using Microsoft Outlook, Word, Excel, and Teams
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Ability to meet deadlines and prioritize assignments
  • Comfortable learning new systems and software
Preferred Qualifications
  • Previous administrative or executive support experience
  • Experience in a high-volume office environment
