HEPCO Inc. is seeking experienced Administrative Assistants to support the Consumer Assistance Unit for the New York State Department of Financial Services (DFS) in Albany, NY. This is an excellent opportunity for organized, detail-oriented professionals who thrive in a fast-paced administrative environment and possess strong communication and case management skills.
 
In this role, candidates will assist with the review and processing of External Appeal applications, communicate with consumers, providers, and insurers, and maintain organized electronic case files in accordance with DFS protocols and procedures. The ideal candidate will be highly reliable, capable of managing multiple time-sensitive assignments simultaneously, and comfortable handling both written and verbal correspondence with internal and external stakeholders.
 
Responsibilities:
  • Evaluate External Appeal applications for eligibility based on established protocols
  • Request required documentation and information from appropriate parties in writing
  • Respond to questions regarding the External Appeal process verbally and in writing
  • Screen requests for External Appeal in accordance with DFS procedures
  • Act as a liaison with consumers, providers, insurers, and internal stakeholders
  • Maintain accurate, complete, and organized electronic case files
  • Follow up on deliverables from internal stakeholders
  • Handle correspondence, phone calls, emails, and other communications professionally
  • Prepare documents and perform other administrative duties as assigned
Minimum Qualifications
  • Minimum of five (5) years of experience processing documents and corresponding with outside entities
  • Must be eligible to work in New York State
  • Excellent written and verbal communication skills
  • Strong interpersonal and organizational skills
  • Ability to understand and follow written procedures
  • Experience managing multiple complex and time-sensitive assignments
  • Detail-oriented with strong prioritization abilities in a high-volume environment
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
  • Ability to work independently and collaboratively within a team environment
  • Strong reliability, attendance, and professionalism required
Additional Information:
DFS will provide training on internal processes and protocols
Telecommuting may be permitted at the discretion of the hiring manager
Parking is not provided; however, the office is accessible via public transportation
