    Position Overview

    The Executive Vice President/COO of Hall Equities Group is a senior leadership role responsible for overseeing the day-to-day operations and financial performance of the company’s diverse commercial real estate portfolio, spanning a broad range of asset classes including multifamily, retail, office, industrial, medical, self-storage, master-planned communities, athletic complexes, and hospitality. Reporting directly to the CEO, this position provides strategic and operational oversight across property management, financial performance, budgeting, leasing, capital expenditures, third-party ownership relationships, and property-level legal and operational matters.

     

    This role serves as a central point of accountability across the portfolio, ensuring portfolio asset managers, property managers, and supporting teams are operating effectively, financial information is accurate and timely, leasing activity is aligned with forecasts, capital projects are properly managed, and property-level issues are identified and addressed proactively. The position requires a hands-on leader who can manage both people and processes while maintaining a comprehensive understanding of the performance of each property.

     

    Key Responsibilities

    Property Management & Portfolio Operations

    • Provide overall leadership and oversight of property management operations across the Hall Equities Group portfolio.
    • Manage and support the day-to-day activities of the property management team, establishing clear expectations, priorities, and accountability.
    • Review property operations regularly to ensure properties are being managed efficiently, professionally, and in accordance with ownership objectives.
    • Identify operational issues, risks, and opportunities across the portfolio and work with property managers and leadership to develop solutions.
    • Establish and maintain consistent operating standards, processes, and reporting across properties.
    • Review the work product and performance of property management personnel and ensure deadlines, reporting requirements, and operational responsibilities are being met.
    • Serve as an escalation point for significant tenant, vendor, operational, or property-level issues.

    Financial Oversight & Reporting

    • Lead and oversee the annual budgeting process across the real estate portfolio.
    • Review monthly property financial statements, cash balances, operating results, and supporting financial information for accuracy and completeness.
    • Confirm that financial performance is consistent with approved budgets and identify significant variances or emerging issues.
    • Prepare, review, and coordinate quarterly property and portfolio narratives for executive leadership and shareholders.
    • Maintain visibility into the financial position and operating performance of each property.
    • Work closely with accounting, property management, and executive leadership to ensure accurate and timely financial reporting.
    • Review accounts payable activity as appropriate and provide oversight of property-level expenses and payment processes.

    Team Leadership & Personnel Management

    • Provide direct management and leadership to property management personnel and supporting operations staff.
    • Establish priorities, monitor performance, and ensure accountability across the operations team.
    • Conduct regular reviews of workload, property assignments, staffing requirements, and team performance.
    • Participate in and approve the hiring process for new property management and operations personnel.
    • Support onboarding, training, professional development, and performance management.
    • Help establish scalable operating procedures and organizational structures as the portfolio evolves.

    Leasing Oversight & Forecasting

    • Provide operational oversight and coordination with the Hall Equities Group leasing team.
    • Review leasing activity, pipeline, renewals, vacancies, and upcoming lease expirations across the portfolio.
    • Develop and maintain leasing forecasts and projections in coordination with leasing personnel and executive leadership.
    • Evaluate leasing performance against property budgets and portfolio objectives.
    • Ensure communication and coordination between leasing, property management, accounting, and ownership.
    • Identify leasing risks and opportunities that could materially impact property performance.

    Capital Expenditure Management

    • Oversee the planning, review, and execution of capital expenditures across the portfolio.
    • Review proposed CapEx projects, budgets, schedules, and priorities with property managers and executive leadership.
    • Monitor capital projects to ensure they remain on budget and on schedule.
    • Evaluate capital needs as part of annual property budgeting and longer-term asset planning.
    • Ensure appropriate communication and reporting regarding significant capital projects and expenditures.

    Third-Party Ownership & Client Relations

    • Serve as a key operational contact for third-party property owners and ownership groups.
    • Oversee the quality and consistency of property management services provided to third-party owners.
    • Review financial reporting, property performance, leasing activity, capital projects, and significant operational matters before communication with ownership.
    • Maintain proactive and professional communication with third-party owners regarding property performance, issues, and opportunities.
    • Ensure Hall Equities Group is meeting its management obligations and maintaining strong relationships with third-party ownership groups.

    Property-Level Legal & Risk Management

    • Coordinate and oversee legal matters associated with property operations, including tenant defaults, collections, evictions, lease disputes, and other property-related matters.
    • Work with internal and outside legal counsel when necessary to resolve property-level legal issues.
    • Ensure property managers appropriately document and escalate legal, tenant, and operational risks.
    • Monitor compliance with lease requirements, management agreements, vendor contracts, and applicable property operating requirements.
    • Work proactively to identify and mitigate operational and financial risks across the portfolio.

    Executive & Strategic Operations

    • Provide executive leadership with a clear and consistent understanding of portfolio operations, financial performance, leasing activity, capital requirements, and emerging risks.
    • Participate in portfolio-level planning and strategic decision-making.
    • Develop reporting, systems, and processes that improve visibility and accountability across Hall Equities Group operations.
    • Coordinate across property management, leasing, accounting, legal, construction, and executive leadership to ensure alignment.
    • Identify opportunities to improve operational efficiency, property performance, tenant experience, and portfolio profitability.
    • Support special projects, acquisitions, dispositions, transitions, and other strategic initiatives as required.

     Qualifications:

    • 8+ years of experience in commercial real estate operations, property management, asset management, or a related field.
    • Demonstrated experience overseeing a portfolio of commercial real estate properties and managing property management teams.
    • Strong understanding of property-level financial statements, annual budgeting, forecasting, cash management, and variance analysis.
    • Experience with commercial leasing, tenant relations, capital expenditure management, and property operations.
    • Experience managing and developing employees across multiple properties or functional areas.
    • Strong financial and analytical skills with exceptional attention to detail.
    • Ability to review complex information, identify issues, and translate findings into clear actions and recommendations.
    • Strong organizational and project management capabilities with the ability to manage multiple properties, teams, and priorities simultaneously.
    • Excellent communication and relationship-management skills, including experience working with executive leadership and third-party property owners.
    • Practical, solutions-oriented approach to operational and property-level legal issues.
    • High degree of accountability, judgment, discretion, and ownership.
    • Ability to work on-site in Walnut Creek.
