Executive Assistant to Owner/Managing Attorney (Law Firm) — Confidential Search (In-Office)


A well-established law firm in the Philadelphia suburbs is conducting a confidential search for an experienced Executive Assistant to support the Owner/Managing Attorney. This is a high-trust, in-office role for someone who is organized, proactive, discreet, and thrives in a deadline-driven professional environment.

Key Responsibilities


  • Provide direct administrative and executive-level support to the Owner/Managing Attorney
  • Manage a complex calendar, scheduling, and meeting logistics (including occasional rescheduling on short notice)
  • Draft, proofread, and format professional correspondence and internal documents
  • Prepare and edit documents in Microsoft Word, create polished materials in PowerPoint, and manage spreadsheets in Excel
  • Handle confidential information with excellent judgment and discretion
  • Coordinate priorities across multiple matters and deadlines
  • Serve as a professional point of contact with clients, vendors, and internal team members
  • Track tasks, follow-ups, and action items to ensure timely completion
  • Use AI tools to improve efficiency and quality (e.g., summarizing information, drafting internal communications, creating first-pass templates, organizing notes/action items), while maintaining accuracy, confidentiality, and professional judgment

Qualifications


  • 3–5 years of experience as an Executive Assistant (or similar high-level administrative role)
  • Bachelor’s degree required
  • Mastery of Microsoft Office (Word, Excel, Outlook, PowerPoint) required
  • Strong proficiency with AI tools required; AI “power user”/expert strongly preferred
  • Excellent written and verbal communication skills; high attention to detail
  • High level of professionalism, discretion, and emotional intelligence
  • Comfort working in a fast-paced environment with shifting priorities
  • Ability to learn new systems quickly
