JOB DESCRIPTION

TOTAL COMPENSATION: $2,000 dollars; Hours must occur outside the regular school day.

TERM OF EMPLOYMENT: 2026-2027 School Year

  • QUALIFICATIONS:

  • Valid WV Teacher's certification

  • Ability to pass criminal background check.

  • Complies with drug-free workplace rules and board policies.

  • Proficient in spelling, proofreading, and the correct use of grammar.

  • Demonstrated organizational and communication skills.

  • Ability to manage timelines, budgets, and multiple projects simultaneously.

  • Experience with photography, graphic design, journalism, publications, or related areas preferred.

  • Ability to supervise students during after-school, evening, and weekend activities.

  • Knowledge of technology platforms used for yearbook creation and publication.

  • IMMEDIATE SUPERVISOR: Principal

Position Purpose

  • The Yearbook Advisor is responsible for planning, organizing, supervising, and overseeing all aspects of the school's yearbook program. The advisor provides leadership to student staff members in the creation, design, editing, production, and distribution of the annual yearbook while promoting student involvement, creativity, responsibility, and school pride.

  • The Yearbook Advisor shall coordinate yearbook activities, supervise students during after-school events, attend school functions to ensure comprehensive event coverage, organize approved fundraising activities, and maintain compliance with West Virginia Board of Education policies, county policies, and school procedures.

Essential Duties and Responsibilities

  • Yearbook Development and Production

  • Recruit, organize, and supervise student yearbook staff.

  • Provide instruction and guidance in journalism, photography, graphic design, editing, layout, and publication production.

  • Develop and maintain an annual yearbook production timeline.

  • Coordinate collection of photographs, student portraits, club pictures, team pictures, candid photos, and school event coverage.

  • Ensure accuracy of student names, grades, staff information, awards, and school records included in the publication.

  • Review all content to ensure appropriateness and compliance with school policies.

  • Work collaboratively with administrators, faculty, coaches, sponsors, students, and community members to gather yearbook content.

  • Coordinate submission deadlines with publishing companies and vendors.

  • Oversee proofing, editing, and final approval of all yearbook pages.

  • Manage yearbook distribution and inventory.

Student Leadership and Supervision

  • Supervise and mentor student yearbook staff members.

  • Conduct regular meetings with yearbook students before, during, or after school as needed.

  • Promote leadership, responsibility, professionalism, teamwork, and ethical journalism standards.

  • Ensure students follow school expectations and the WV Student Code of Conduct during all yearbook activities.

School Events

  • Attend and supervise yearbook students at the following, but not limited to:

  • Athletic events

  • Academic competitions

  • Graduations and awards ceremonies

  • Homecoming activities

  • School dances

  • Assemblies

  • Fine arts performances

  • Club activities

  • Community and school-sponsored events

  • Attend and/or arrange coverage for after-school, evening, and weekend activities to ensure appropriate yearbook representation.

Fundraising Responsibilities

  • Develop and coordinate yearbook fundraising activities with administrative approval.

  • Promote yearbook sales and advertising opportunities.

  • Coordinate sales campaigns, sponsorships, and other approved fundraising efforts.

  • Attend fundraising events and supervise participating students.

  • Maintain accurate records of funds collected according to county financial procedures and school accounting guidelines.

  • Work with school administration to ensure all fundraising activities comply with county and state requirements.

Financial Management

  • Develop and monitor the yearbook budget.

  • Maintain accurate records of revenues and expenditures.

  • Coordinate purchasing of supplies, equipment, and publication services according to county procedures.

  • Ensure all transactions comply with county financial policies and audit requirements

Communication and Collaboration

  • Communicate regularly with students, staff, parents, and administration regarding yearbook activities and deadlines.

  • Work collaboratively with school organizations, athletic programs, and academic departments to gather information and celebrate student achievements.

  • Promote positive school culture and student involvement through yearbook activities.

Compliance and Professional Expectations

The Yearbook Advisor shall:

  • Comply with all West Virginia Board of Education policies, West Virginia Code, and county board policies.

  • Adhere to school activity fund procedures and fundraising regulations.

  • Maintain student confidentiality in accordance with FERPA requirements.

  • Demonstrate professionalism, ethical conduct, and positive public relations.

  • Follow district policies regarding student supervision and safety.

  • Attend required meetings, trainings, and sponsor workshops as directed.

  • Ensure activities are conducted in a manner that promotes student safety and well-being.

  • Support school improvement goals and positive school culture initiatives consistent with county and state expectations.

Physical Demands

  • Ability to attend and supervise school functions occurring before, during, and after the regular school day.

  • Ability to move throughout school facilities and event venues.

  • Ability to lift and transport yearbook materials and equipment as needed.

Evaluation

  • Performance will be evaluated annually by the Principal or Designee in accordance with county policy and applicable West Virginia regulations.

  • The successful candidate will demonstrate a commitment to student achievement, positive school culture, leadership development, and the creation of a high-quality yearbook that preserves the history, accomplishments, and traditions of the school community.

  • Applicant must be willing to work beyond the regular school day, including after-school events, evening activities, weekend functions, fundraising events, and yearbook-related deadlines.
