Position Overview
We are seeking a highly organized, detail-oriented, and tech-savvy Facilities & Construction Coordinator to support the operational and administrative functions of our 33-unit, multi-state restaurant portfolio. This role serves as the central hub for facilities maintenance, vendor management, construction support, and capital expenditure (CapEx) tracking.
The ideal candidate will be the internal "super-user" of our Computerized Maintenance Management System (CMMS), helping ensure facilities issues are triaged, assigned, tracked, and resolved efficiently. You will act as a key liaison between restaurant General Managers, external vendors, contractors, and the Director of Facilities & Construction, driving accountability, communication, and operational excellence across the organization.

Key Responsibilities
- CMMS Administration & Work Order Management
- Serve as the primary administrator and subject matter expert for the company's CMMS platform.
- Ensure the system keeps accurate work order records, asset information, service histories, and preventive maintenance schedules.
- Work with Ecotrak Facilitator to monitor open work orders, ensuring timely triage and prioritization. Follow up with vendors and restaurant teams to ensure timely resolution.
- Generate reports and analytics related to service trends, response times, costs, and recurring issues.
Vendor Management & Compliance - Assist with vendor onboarding, insurance certificate collection, licensing verification, and compliance documentation.
- Maintain vendor databases, contracts, and service agreements.
- Monitor vendor performance and service-level expectations.
- Support bid collection and proposal analysis for maintenance and capital projects.
Financial Administration & Invoice Management - Review Facilities-related invoices. Reconcile for accuracy, completion and alignment with estimates. Partner with Accounting on appropriate coding and any related questions.
- Partner with Finance on tracking of all R&M and Facilities-related CAPEX spending as well as future planning and budgeting
Construction & Permitting Support - Provide administrative support for restaurant remodels, relocations, new store development, and capital improvement projects.
- Assist with permitting applications, documentation, inspections, and regulatory requirements.
- Coordinate communication among landlords, contractors, architects, consultants, and local municipalities.
- Maintain project schedules, contracts, drawings, and construction files.
- Track project milestones, deadlines, and budgets.
Reporting & Administrative Support - Partner with Finance on dashboards and KPIs related to Facilities spending, performance, trends, budget utilization, and project statuses
- Maintain organized digital and physical records for facilities and construction activities.
- Identify opportunities to improve processes, workflows, and system utilization.
Communication & Cross-Functional Coordination - Facilitate communication between operations, facilities, finance, and external partners.
- Ensure stakeholders receive timely updates on service requests, project status, and critical issues.
- Deliver a high level of customer service while balancing multiple priorities and deadlines.
Qualifications
Required - Minimum 2 years of experience in facilities coordination, maintenance administration, construction administration, property management, restaurant support services, or a related field.
- Experience managing work orders, service vendors, invoices, or project administration.
- Strong proficiency with Microsoft Office Suite, particularly Excel, Outlook, and PowerPoint.
- Experience working with CMMS, facilities management software, or related platforms.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Demonstrated ability to prioritize multiple projects and deadlines in a fast-paced environment.
Preferred - Experience supporting multi-unit restaurant, retail, hospitality, or commercial facilities operations.
- Familiarity with permitting, construction project coordination, or capital project administration.
- Experience with budget tracking, invoice processing, and financial reporting.
- Knowledge of facilities maintenance terminology, vendor management practices, and building systems.

Physical & Work Environment Requirements - Primarily office-based work with extensive computer usage.
- Occasional travel to restaurant locations, project sites, or vendor meetings may be required.
- Ability to sit, stand, and work at a computer for extended periods.
- Ability to lift up to 20 pounds occasionally.
