Position Summary:Provides administrative and operational support to the Facilities & Construction Department. Responsible for maintaining facility records, tracking contracts and permits, supporting CMMS and lease management systems, coordinating vendor documentation, and assisting with financial and compliance reporting. Serves as a key point of contact for facility-related documentation and ensures critical information is accurate, organized, and readily available to support department operations across all locations. Essential Duties and Responsibilities: - Maintain accurate facility, asset, and work order records within the CMMS platform.
- Enter, update, and verify data related to assets, preventive maintenance schedules, and service requests.
- Support lease management activities by maintaining lease records and tracking critical dates.
- Assist with generating reports and department metrics as requested.
- Organize and maintain electronic filing systems for facilities documentation.
Compliance and Permit Coordination: - Track permit, license, inspection, and certification renewal dates for facilities and equipment.
- Coordinate required inspections and maintain associated records.
- Maintain compliance documentation related to regulatory and safety requirements.
- Assist with gathering documents needed for internal audits and compliance reviews.
- Maintain current vendor insurance certificates and compliance records.
Contractor and Vendor Coordination: - Maintain vendor and contractor records, contracts, and supporting documentation.
- Track contract expiration dates, renewal deadlines, and service agreements.
- Assist in obtaining proposals, bids, insurance certificates, and vendor paperwork.
- Coordinate communications between facilities staff, vendors, landlords, and internal departments.
- Support vendor onboarding and documentation processes.
Financial and Reporting Support: - Assist with invoice review, coding, and processing.
- Maintain facility spending records and supporting documentation.
- Support budget tracking by compiling expense reports and invoice summaries.
- Assist with purchase orders and procurement documentation.
- Prepare routine reports and administrative summaries for department leadership.
Documentation and Process Support: - Maintain department SOPs, forms, and process documentation.
- Assist with updating procedures and recordkeeping standards.
- Ensure department documents are organized, current, and easily accessible.
- Support implementation of process improvements and administrative initiatives.
- Perform other duties as directed by management to support evolving organizational needs.

Minimum Qualifications: - A high school diploma or the equivalent is required.
- An associate or bachelor’s degree is preferred; equivalent professional experience may be considered in lieu of a degree.
- One (1) to three (3) years of facilities administration, contract management, property management, or a related field experience is preferred.
- Ability to read, write, and communicate effectively in English to understand safety instructions, standard operating procedures, and workplace communications.
- Excellent computer skills (proficiency in Microsoft Office).
- Experience with Maintenance Connection (or similar CMMS) and LeaseCake (or similar lease management software).
- Resourceful, detail-oriented, and able to prioritize and manage multiple tasks.
- Must be familiar with OSHA and ADA standards.
- Must be legally authorized to work in the United States without sponsorship for current or future employment. GWH does not offer visa sponsorship for employment purposes.

- % of projects completed within ±5% of approved budget.
- Average time to complete maintenance request.
- Stakeholders' satisfaction after project completion.
- Capital budget variance related to facilities and construction.
Physical Requirements/Work Environment: - Regular twisting, bending, squatting, kneeling, pushing, and pulling.
- Lift up to 40 lbs. and occasionally up to 100 lbs.
- Extended periods of standing.
- Moderate indoor noise with periodic exposure to outside temperatures.
