Description

Our client, the U.S.'s largest commercial real estate services firm, is seeking a Facilities Coordinator to support a newly established client site in Charlotte, NC. This contract-to-hire role is ideal for a highly organized and service-oriented professional who enjoys wearing multiple hats, building strong relationships, and creating an exceptional workplace experience. Schedule is Monday-Friday, 8am-5pm.

Day-to-Day Responsibilities:
  • Serve as the primary onsite point of contact for workplace-related questions, requests, and concerns
  • Deliver a high-touch, hospitality-focused experience for employees, visitors, and business partners
  • Support front-of-house activities, including greeting visitors, coordinating meetings, and assisting with visitor management when needed
  • Coordinate meeting and event logistics, including room reservations, catering arrangements, and setup requirements
  • Manage daily facilities operations and respond to service requests in a timely and professional manner
  • Create, monitor, and track work orders through the CBRE Service Insight system to ensure prompt resolution
  • Conduct routine workplace inspections to maintain safety, cleanliness, and overall operational readiness
  • Coordinate with vendors and service providers, including maintenance, cleaning, security, and other contracted partners
  • Build and maintain positive relationships with clients, vendors, global teams, and local stakeholders
  • Manage multiple priorities simultaneously while adapting to changing business needs
  • Assist with invoice processing, purchase orders, and basic financial tracking activities
  • Maintain accurate workplace records, logs, and operational documentation
  • Generate reports related to work orders, service delivery, and workplace metrics
  • Support compliance with client requirements, CBRE policies, and established workplace procedures
  • Promote a safe work environment by supporting health and safety initiatives, emergency procedures, and incident reporting processes
  • Identify opportunities for continuous improvement to enhance the overall workplace experience
  • Partner with regional teams to ensure consistency in service delivery and operational execution
  • Perform additional administrative and facilities-related duties as assigned
Required Qualifications:
  • Approximately 3 years of facilities, workplace, office operations, or related experience
  • Strong customer service skills with a hospitality-driven approach
  • Experience interacting with a variety of stakeholders, including clients, vendors, leadership teams, and employees
  • Demonstrated ability to multitask and effectively manage competing priorities
  • Excellent organizational and time management skills
  • Strong interpersonal skills with the ability to build relationships across all levels of an organization
  • Experience coordinating vendors and service providers
  • Strong verbal and written communication skills
  • Ability to work independently as the sole onsite representative while collaborating with regional teams
  • Proficiency with Microsoft Office applications, including Excel, Word, SharePoint, and Microsoft Teams
  • Problem-solving skills with the ability to proactively address workplace issues and service requests
Preferred Qualifications:
  • Bachelor's degree preferred; equivalent professional experience will also be considered
  • Previous experience supporting workplace experience, facilities coordination, or office operations within a corporate environment
  • Experience with work order management systems, including CBRE Service Insight or similar platforms
  • Exposure to invoice processing, purchase orders, and basic financial administration
  • Experience supporting employee engagement initiatives, meetings, and events
  • Knowledge of workplace safety and compliance practices
