About the Role:

CBRE is seeking a detail-oriented Facilities Coordinator to support a premier global financial services client known for delivering wealth management and banking solutions individuals and institutions. This client operates a wide portfolio of advisory offices and select retail locations across the United States, offering a fast-paced, professional environment focused on client service excellence.

This hybrid role is based in downtown Minneapolis, requiring onsite presence three days per week. You will provide administrative and operational support to three Facilities Managers, and support approximately 200 sites across the region. This position plays a critical role in ensuring smooth facilities operations, financial processes, and vendor coordination across a primarily wealth management-focused portfolio.

What You'll Do:

  • Provide day-to-day administrative support to three Facilities Managers, ensuring efficient regional operations

  • Process and manage 200-250 invoices monthly across the U.S. portfolio with accuracy and timeliness

  • Create and maintain purchase orders, ensuring proper tracking and compliance

  • Coordinate with vendors, landlords, and internal stakeholders to support facilities activities and work orders

  • Maintain and organize documentation including proposals, invoices, and service records

  • Monitor and update data across systems such as IFM Hub, Coupa, and Smartsheet

  • Respond to inquiries and service requests from stakeholders, ensuring timely resolution

  • Track performance metrics and support reporting for regional facilities operations

What You'll Need:

  • High school diploma or GED with 1-2 years of administrative, facilities, or accounting-related experience.
  • Basic accounting or financial processing knowledge (invoicing, purchase orders, reconciliation preferred).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with platforms such as Coupa, Smartsheet, or similar systems is a plus.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple priorities across a large, multi-site portfolio.
  • Effective communication skills to interact with internal teams and external vendors.
  • A proactive, service-oriented mindset with the ability to follow established processes and procedures.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Facilities Coordinator position is $55,000 annually [or $26.45 per hour] and the maximum salary for the Facilities Coordinator position is $70,000 annually [or $33.66 per hour]. The compensation offered to a successful candidate will depend on their skills, qualifications, and experience. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
