Facilities Coordinator
LHH is seeking a detail-oriented Facilities Coordinator to support daily facility operations at a corporate site in New Haven, CT. This role focuses on scheduling maintenance activities, coordinating vendors, tracking preventative maintenance, and providing administrative support to the facilities team. The ideal candidate has experience in facilities or industrial maintenance environments and is comfortable working with CMMS systems and related software.
Key Responsibilities
- Plan, schedule, and dispatch daily, weekly, and monthly work orders for on-site facilities personnel and subcontractors using a CMMS
- Generate and track preventative maintenance schedules to ensure monthly compliance
- Maintain accurate work order logs and prepare data for monthly reporting
- Process and verify daily timesheets for facilities staff
- Assist with coordinating materials and services, including purchase orders and invoices
- Create basic reports, metrics, and spreadsheets as needed
- Maintain organized filing systems and accurate documentation
- Schedule and track required safety training and compliance records
- Provide administrative support, including assistance with mailroom tasks as needed
- Support small on-site events, including coordination and setup
- Perform additional duties as assigned to support site operations
Qualifications
- Associate's degree or equivalent from a two-year college or technical school
- Must be 21 years of age or older
- 5–10 years of related facilities, maintenance, or operations experience, or an equivalent combination of education and experience
- Prior experience in an industrial or facilities maintenance environment preferred
- Strong organizational skills with attention to detail
- Comfortable working with CMMS systems and standard office software
