Facilities Coordinator

Location: New York, NY

Onsite Flexibility: Onsite

Contract Details

  • Position Type: Contract
  • Contract Duration: 2 months (extension possible; potential to convert to permanent)
  • Start: May 18, 2026
  • Pay Rate: $19.00 $20.00 / Hour (USD)
  • Shift / Schedule: Monday Friday, 7:00 AM 4:00 PM EST; potential weekend coverage dependent on event needs with flex time off during that week; flexible hours required
  • Work Authorization: Applicants must be authorized to work for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Job Summary

As a Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.

Key Responsibilities

  • Vendor coordination
  • Access granting
  • Managing work order ticketing system
  • Maintaining preventative maintenance schedules
  • Updating stakeholders on project progress
  • Comfortable working in a mailroom setting for extended periods
  • Change lightbulbs and perform basic facilities tasks
  • Complete facilities paperwork accurately
  • Perform data entry responsibilities
  • Communicate directly with clients
  • Move boxes and assist with physical facilities needs
  • Maintain flexible hours to accommodate operational requirements

Required Skills

  • Tactical thinking

  • Polished speech and presentation skills
  • Proficiency with a work order ticketing system
  • Proficiency with Microsoft Office Suite
  • Hands-on facilities experience
  • Ability to perform data entry
  • Ability to communicate directly with clients

  • Ability to maintain flexible hours

Preferred Skills

  • Understanding of office operations and the impacts of facilities work on occupied spaces

Required Experience

  • 2 3 years of facilities experience

Work Environment / Physical Requirements

  • 100% onsite role
  • Team comprised of office operations facilities, workplace experience, and events team
  • Client is currently undergoing a renovation project involving carpet, patch/paint, and furniture moves
  • High client expectations for facilities delivery and operational continuity
  • Must be comfortable sitting in a mailroom for extended periods
  • Must be able to move boxes
  • Potential weekend coverage dependent on event needs (flex time off provided during that week)
