Facilities Coordinator

Location: San Antonio, TX 78229
Pay: $38.00-$38.46/hour
Shift: 1st Shift
Duration: Long-Term Contract (No End Date)

Job Summary

We are seeking a Facilities Coordinator to support daily facility operations by coordinating work orders, vendors, office moves, and building services. This is an administrative role that ensures facility requests are completed efficiently while providing excellent customer service to employees and site leadership.

This position does not perform maintenance or repair work.

Responsibilities

  • Serve as the primary contact for facility-related requests.
  • Coordinate work orders with vendors, landlords, and property management.
  • Track work orders from start to completion.
  • Communicate project updates and work order status to internal customers.
  • Coordinate office moves, workstation assignments, and space planning.
  • Maintain occupancy records, contracts, inspection records, and facility documentation.
  • Schedule preventive maintenance with vendors.
  • Process purchase orders and invoices, ensuring accurate cost center coding.
  • Order and maintain office and janitorial supplies.
  • Coordinate building services including janitorial, security, mail services, vending, pest control, and landscaping.
  • Schedule vendor access, deliveries, and service appointments.
  • Assist with conference room setups, special events, and facility projects.
  • Build positive relationships with employees, vendors, contractors, and property management.
  • Provide general administrative support to the Facilities department.
  • Perform other duties as assigned.

Qualifications

Required

  • High school diploma or GED.
  • Minimum of 2 years of experience in facilities coordination, office administration, customer service, or a related field.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, and PowerPoint.
  • Excellent organizational, communication, and customer service skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.

Preferred

  • Experience with facility management or space planning software.

Physical Requirements

  • Regular walking throughout the facility.
  • Occasional standing, bending, and lifting up to 25 lbs.
  • Ability to assist with office moves and event setup as needed.
  • Regular and reliable attendance is required.
