We develop and manage Apple's global real estate portfolio, lead all related capital construction projects, provide outstanding facilities and site services, develop and lead sustainability initiatives to reduce the environmental impact of all Apple facilities, including commute and renewable energy programs, and do everything we can to ensure the health and safety of all Apple personnel, facilities, and customers in our facilities around the world.

The NorCal Facilities team manages one of Apple's most complex regional portfolios, spanning Santa Clara Valley, Apple Park, and surrounding campuses. Our operations cover building automation, electrical and mechanical systems, maintenance, construction logistics, and workplace services across millions of square feet. We operate at the intersection of facilities excellence and modern technology, constantly raising the bar on how a world-class facilities organization runs.

We are seeking a resourceful, self-directed, and results-driven professional to join our team as a Facilities Coordinator to provide high-impact operational and strategic support to the NorCal Facilities leadership team.

The Facilities Coordinator will serve as a force multiplier for NorCal Facilities senior leadership, owning the coordination, communication, and operational infrastructure that keeps a large, multi-disciplinary organization moving forward. This role requires someone who can operate with delegated authority, anticipate needs, and drive outcomes independently. Apply AI-powered tools and automation, including large language models, across core operational workflows: drafting and distributing organizational communications and reports, building tracking systems and dashboards for KPIs and project milestones, preparing materials for leadership meetings and QBRs, and maintaining documentation such as org charts, SOPs, and distribution lists. Serve as a primary coordination point between the leadership team and internal and external stakeholders, acting with delegated authority on behalf of senior leaders. Own the regional workflow within Places Support, ensuring maintenance requests and service delivery are tracked and resolved. Manage leadership communications, calendars, and meeting logistics, including agenda preparation, action item tracking, and follow-up. Support budget tracking, purchase order coordination, and vendor follow-up as needed. Identify and implement process improvements that reduce administrative overhead and increase team velocity. Take ownership of emerging operational priorities as they surface, building the processes and infrastructure needed to support new functions and evolving organizational needs.5+ years of experience in facilities operations, project coordination, or executive and administrative support. Hands-on experience using AI-powered productivity tools (e.g., Claude, ChatGPT, Copilot) to accelerate daily work including research, writing, data analysis, and workflow automation. Strong written and verbal communication skills, with comfort preparing materials for senior and executive leadership. Background in facilities management, workplace services, or campus operations. Demonstrated track record of working autonomously and managing competing priorities in a fast-paced environment. Demonstrated ability to operate with delegated authority, making judgment calls and driving follow-through on behalf of senior leaders. Proficiency with data visualization and reporting tools (Tableau, Numbers, or similar). Proven ability to build operational infrastructure from the ground up, including tracking systems, SOPs, and reporting cadences. Exceptional organizational skills with a bias toward action and a track record of delivering measurable results.
