Facilities Data & Asset Management Assistant

Position Summary:

The Student Capital Asset Database Assistant supports Facilities Management by maintaining and updating the Capital Needs Analysis (CNA) database used for long-term planning and management of campus buildings, infrastructure, and capital assets. The student employee will assist with data entry, asset verification, reporting, and database maintenance to ensure accurate records for facility replacement planning and capital improvement projects.

This position provides valuable experience in facilities management, asset management, database administration, project planning, and data analysis.

Essential Duties and Responsibilities:

Database Maintenance

  • Enter, update, and maintain asset information in the Capital Needs Analysis (CNA) database.
  • Verify asset records, locations, quantities, and descriptions for accuracy.
  • Update records related to completed replacement and improvement projects.
  • Assist with maintaining asset life-cycle information, replacement costs, and remaining useful life data.
  • Organize and maintain electronic records and supporting documentation.

Asset Inventory Support

  • Assist Facilities staff with maintaining a complete inventory of campus assets.
  • Conduct field verification of building and infrastructure assets as needed.
  • Document changes to room information, equipment locations, and facility assets.
  • Help identify missing or incomplete asset records.

Reporting and Data Analysis

  • Generate spreadsheets and reports from database information.
  • Assist with data cleanup, audits, and quality-control reviews.
  • Compile information needed for annual inspections and planning activities.
  • Support capital planning efforts through accurate data collection and organization.

Administrative Support

  • Assist with filing, scanning, and organizing project documents.
  • Support annual asset inspection and review processes.
  • Attend training sessions related to CNA procedures and asset management.
  • Perform other related duties as assigned.

Qualifications:

Required

  • Current student enrolled at the institution.
  • Basic computer proficiency, including Microsoft Excel and Microsoft Office applications.
  • Strong attention to detail and organizational skills.
  • Ability to accurately enter and manage large amounts of data.
  • Strong written and verbal communication skills.
  • Ability to work independently and follow established procedures.

Preferred

  • Experience with quantitative analysis, spreadsheets, databases, or data entry.
  • Interest in facilities management, engineering, construction, business, information systems, or project management.
  • Familiarity with Microsoft Access, database software, or asset management systems.

Knowledge, Skills, and Abilities
