Job Summary

The Facilities Planning Department is a multi-disciplinary office that provides design, planning, and construction services for campus. We maintain the universitys Master Plan, assist in space planning and tracking, and coordinate the universitys annual capital outlay and Maintenance, Renovation, & Repaid (MRR) requests. The Facilities Data Specialist bridges the gap between technical drafting and spatial analysis, utilizing AutoCAD and ArcGIS Pro. This role integrates high-precision AutoCAD designs with ArcGIS Pro to create a comprehensive digital twin of campus infrastructure, supporting the entire facility lifecycle - from initial planning and design to the critical mapping of utilities that drive daily maintenance and long-term operations.

Responsibilities

Management - 55%

Responsible for managing facility infrastructure data, utility systems, Computer Aided Drafting (CAD)/Geographic Information System (GIS) integration, and lifecycle asset documentation.

Core Duties:

Build, maintain, and update high-accuracy GIS utility networks, including water, electric, gas, fiber, and sewer systems.

Maintain mapping of isolation valves, shut-off points, clean-outs, and utility access locations.

Integrate AutoCAD drawings into ArcGIS Pro/Online environments.

Convert legacy CAD data into georeferenced GIS datasets.

Maintain digital twin infrastructure records for facilities and utilities.

Manage as-built documentation and convert completed construction packages into GIS layers.

Ensure all facility drawings, floor plans, sidewalks, and hardscape layouts align with real-world coordinate systems.

Support planning, design, and construction teams through preliminary drafting and conceptual site layouts.

Maintain asset lifecycle records, including infrastructure age, condition, and maintenance history.

Support indoor mapping initiatives, including space utilization, wayfinding, and safety and security asset placement.

Implement and maintain mobile GIS solutions for field operations and utility verification.

Reporting - 25%

Responsible for reporting, analytics, visualization, and executive-level operational dashboards.

Core Duties:

Design and maintain GIS dashboards and operational reporting tools.

Develop interactive visualizations for utility health, construction progress, maintenance activity, and infrastructure status.

Produce dig-safe maps and utility clearance reports.

Generate spatial reports for maintenance planning and emergency response coordination.

Analyze infrastructure trends and provide data summaries for leadership decision-making.

Ensure accuracy and consistency of facilities data used for operational reporting.

Support data-driven planning initiatives through map production and analytical reporting.

Coordinating - 10%

Responsible for coordinating with internal departments, contractors, engineers, and field personnel.

Core Duties:

Coordinate with engineers, architects, construction teams, maintenance staff, and vendors.

Assist project teams during planning, design, and construction phases.

Support field crews with utility locating and GIS/mobile mapping tools.

Facilitate communication between facilities operations and technical data stakeholders.

Ensure adherence to facilities drafting and GIS data standards.

Coordinate updates to utility and infrastructure records following field verification or project completion.

Technical Compliance & Quality Assurance - 5%

Responsible for maintaining data standards, system integrity, and documentation quality.

Core Duties:

Perform quality assurance reviews on CAD and GIS datasets.

Validate geospatial accuracy and utility alignment.

Maintain documentation standards for infrastructure records and construction deliverables.

Ensure compliance with organizational GIS and drafting standards.

Other Duties - 5%

Core Duties:

Participate in professional development and training initiatives.

Assist with emergency response mapping efforts as needed.

Support special projects and departmental initiatives related to facilities data management.

Required Qualifications

Educational Requirements

Bachelors degree in Geographic Information Systems (GIS), Civil Engineering, Architecture, Facilities Management, or a related field.

Other Required Qualifications

Valid drivers license with a good driving record.

Required Experience

Experience in utility mapping, facilities data management, infrastructure GIS systems, and CAD drafting environments.

Preferred Qualifications

Preferred Experience

Experience in higher education, municipal, healthcare, or campus facilities environments.

Familiarity with enterprise asset management systems.

Knowledge of utility locating practices and excavation safety standards.

Experience supporting digital twin or smart facilities initiatives.

Knowledge, Skills, & Abilities

ABILITIES

Ability to produce high-quality utility maps, site plans, infrastructure layouts, and design support packages.

Ability to maintain spatial integrity across facilities datasets.

Ability to follow oral and written instructions, interpret and work from drawings and specifications, and plan.

Ability to establish, collaborate, and maintain effective working relationships with engineers, construction personnel, maintenance teams, vendors, and contractors.

Ability to communicate clearly, concisely, and effectively, both orally and in writing.

Ability to use MS Office, AutoCAD, and project management software.

Ability to read and interpret utility schematics, civil engineering plans, construction drawings, and as-built surveys.

Must be physically and mentally capable of performing work in several different environments, including outside in hot, humid conditions or inside in dusty conditions.

KNOWLEDGE

Understanding of geometric networks.

Understanding of Utility Network frameworks within GIS.

Understanding of ETL (Extract, Transform, Load) processes.

Understanding of GPS/GNSS data collection methods.

Knowledge of geospatial data management principles and coordinate systems.

Understanding of planning, design, and construction phases within a facilities environment.

Familiarity with infrastructure documentation standards and construction closeout procedures.

SKILLS

Expertise in Esri ArcGIS Desktop/Pro/Online and AutoCAD, with the ability to integrate drafting and spatial analysis workflows.

Skilled in aligning CAD drawings with real-world coordinate systems.
