Facilities Maintenance Coordinator / Administrator
Our client is seeking a highly organized and proactive Facilities Maintenance Coordinator to act as the central point of contact between store managers, vendors, and internal teams. This role is critical to ensuring that maintenance requests are handled efficiently, issues are resolved promptly, and facilities across multiple locations remain fully operational.
The ideal candidate is detail-oriented, communicates effectively, and thrives in a fast-paced environment. You will be responsible for managing work orders from initiation through completion, coordinating with service providers, and maintaining clear visibility across all maintenance activities.
This is a direct hire opportunity.
Hours: 8am to 5pm or 7am to 4pm, some flexibility
Salary Range: $70,000 - $80,000

Facilities Maintenance Coordinator / Administrator Responsibilities:
- Serve as the primary point of contact for facilities and maintenance requests from store managers and internal teams
- Manage work orders through the ticketing system, tracking each from submission to completion
- Coordinate vendor and technician scheduling, follow-ups, and work completion confirmation
- Maintain accurate records of service activity, invoices, and compliance documentation (e.g., Certificates of Insurance)
- Support lease abstracting, vendor onboarding, move-in/move-out logistics, and periodic site inspections
- Coordinate quotes and billing for above-standard service requests (e.g., HVAC, lighting upgrades)
- Onboard new store managers to the maintenance platform and internal workflows
- Support invoice tracking and budget compliance per company procedures
- Maintain tenant service standards through consistent communication and engagement
Facilities Maintenance Coordinator / Administrator Requirements:

- 2+ years’ experience in customer service, facilities coordination or property management
- Proficiency in MS Office or Google Workspace
- Experience with maintenance management platforms, such as UpKeep, ServiceChannel, MaintainX
- Familiarity with lease administration, vendor coordination and billing
