Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM (100% Onsite)
Overview of the Job
The Facility Assistant/Coordinator is responsible for day-to-day hands-on support to ensure the smooth physical and operational performance of the Ivy Station office. Reporting directly to the Facility Director and Facility Manager, this role acts as "boots on the ground" support, handling physical office setups, furniture moves, mailroom logistics, and event support for high-profile media executives requiring white-glove service. This is a 6-month contract opportunity running from July 20, 2026, to January 22, 2027, with the potential for extension or conversion.
Job Specifications
Primary Responsibilities
• Perform general physical labor as assigned, including loading, unloading, and moving materials and office furniture daily.
• Execute complete setup and breakdown of requested room and furniture layouts for meetings and events (specifically in Culver Junction and the 5th-floor terrace).
• Reset all room items, furniture, and office supplies immediately following meetings.
• Maintain outdoor furniture on the 5th-floor terraces for general everyday use.
• Assist with white-glove support for official company events.
• Partner with the Office Services Coordinator to provide coverage and assistance with mailroom operations, shipping, and receiving (FedEx, UPS, USPS).
• Assist with tracking, inventorying, and restocking office and shipping supplies.
• Organize and maintain facility storage rooms to keep them orderly and accessible.
• Complete other operational tasks as assigned by facility leadership.
Required Knowledge, Skills, and Abilities
• Project & Deadline Management: 3+ years of experience managing deadlines and multiple tasks in a fast-paced environment (not seeking dedicated Project Managers, but strong task/calendar organization skills).
• Physical Stamina: Ability to lift up to 50 lbs and perform daily physical tasks, including moving heavy office equipment, chairs, and tables.
• Communication Skills: Excellent written, verbal, and interpersonal skills to clearly communicate with leadership, cross-functional stakeholders, and high-profile executives.
• Technical & Software Acumen:
Proficiency in ticketing/work-order software (Planon preferred; experience with ServiceNow or JIRA is compatible).
Familiarity with Microsoft 365 (Excel, Word, Teams) and Zoom.
Familiarity with AI tools (e.g., Microsoft CoPilot).
• Knowledge of basic building systems, maintenance, and safety protocols.
• Experience in customer-facing or hospitality service environments.
Preferred Qualifications
• Experience with physical event setup and breakdown.
• Passion or interest in facilities management, building operations, or Liberal Arts.
Education and Experience
• No specific degree or certification is required.
• 3–5 years of customer service experience (e.g., hospitality, restaurant, or facility operations) with a track record of meeting strict deadlines.
