Job Description

The Facilities Manager is responsible for the overall management, maintenance, safety, and operational readiness of all MFA-owned and leased facilities. This position ensures that clinical and administrative facilities are maintained in a safe, efficient, compliant, and cost-effective manner that supports the delivery of high-quality patient care.

The Facilities Manager serves as the primary point of accountability for building operations, maintenance programs, vendor management, facility projects, space planning, safety initiatives, emergency preparedness, and regulatory compliance across all MFA locations. The position collaborates closely with clinical leadership, administration, information technology, and external contractors to ensure facilities effectively support current operations and future organizational growth.

Facilities Operations

  • Direct and oversee day-to-day facility operations across all MFA locations.
  • Develop and implement preventive maintenance programs for buildings, equipment, and grounds.
  • Conduct routine facility inspections to identify maintenance, safety, or operational concerns.
  • Ensure all facilities remain clean, safe, functional, and professional in appearance.
  • Oversee building systems including HVAC, electrical, plumbing, lighting, roofing, and structural components.
  • Coordinate maintenance schedules to minimize disruption to patient care operations.
  • Maintain facility asset inventories and equipment records.

Vendor and Contract Management

  • Manage relationships with maintenance, janitorial, landscaping, security, waste disposal, and specialty service vendors.
  • Solicit competitive bids and negotiate contracts for facility-related services.
  • Monitor contractor performance and ensure compliance with contractual requirements.
  • Review invoices and monitor facility-related expenditures.
  • Ensure vendor compliance with MFA policies, insurance requirements, and safety standards.

Facility Planning and Projects

  • Coordinate renovations, construction projects, office relocations, and facility improvements.
  • Assist leadership with long-range facility planning and capital improvement initiatives.
  • Develop project scopes, timelines, budgets, and implementation plans.
  • Monitor project progress and ensure timely completion.
  • Coordinate space utilization and facility modifications to support operational needs.

Regulatory Compliance and Safety

  • Ensure compliance with applicable federal, state, and local building codes and regulations.
  • Maintain readiness for regulatory inspections and accreditation surveys.
  • Oversee workplace safety programs and facility-related compliance activities.
  • Coordinate environmental health and safety initiatives.
  • Ensure proper handling, storage, and disposal of hazardous materials.
  • Maintain documentation required for regulatory compliance.

Emergency Preparedness

  • Serve as a key member of MFA's emergency preparedness and disaster response team.
  • Assist in the development, implementation, and testing of emergency response plans.
  • Coordinate facility response during emergencies, utility failures, and natural disasters.
  • Maintain relationships with emergency service providers and utility companies.
  • Participate in after-hours emergency response activities as needed.

Financial Management

  • Develop and manage annual facilities operating budgets.
  • Monitor facility expenditures and identify opportunities for cost savings.
  • Assist with capital budgeting and long-term facility investment planning.
  • Evaluate vendor proposals and provide financial recommendations to leadership.

Leadership and Collaboration

  • Supervise maintenance personnel and contracted facility service providers.
  • Establish performance expectations and monitor results.
  • Collaborate with department leaders to address facility concerns and support operational needs.
  • Serve as the primary internal resource for facility-related issues.
  • Promote a culture of safety, accountability, customer service, and continuous improvement.

Other Duties

Qualifications

Education

  • Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or related field preferred.
  • Equivalent combination of education and relevant experience may be considered.

Experience

  • Minimum of five (5) years of progressively responsible facilities management experience.
  • Experience managing multi-site facilities operations preferred.
  • Experience within healthcare, medical group, hospital, ambulatory care, or regulated environments strongly preferred.
  • Demonstrated experience managing vendors, contracts, and facility projects.

Knowledge

  • Building systems including HVAC, electrical, plumbing, mechanical, and life safety systems.
  • Federal, state, and local building codes and regulatory requirements.
  • OSHA workplace safety requirements.
  • Healthcare facility operations and compliance requirements.
  • Preventive maintenance programs and facility management best practices.
  • Budgeting, project management, and contract administration.
