    Facilities Manager

    Reports To: Operations Director
    FLSA Status: Exempt
    Department: Facilities / Operations

    Job Summary

    The Facilities Manager is responsible for overseeing the day-to-day operation, maintenance, safety, and security of SunGlo Restoration Services' facilities, vehicle fleet, equipment, and company supplies.

    This position ensures that company facilities, vehicles, tools, and equipment are properly maintained and available to support ongoing restoration operations. The Facilities Manager also coordinates vendors, inspections, purchasing, inventory, building services, and facility-related administrative responsibilities.

    The position supervises the Facilities Technician and may periodically direct employees from other departments who are temporarily assigned to assist with Facilities-related responsibilities.


    Key Responsibilities

    Facility Maintenance & Operations

    • Oversee the general maintenance and condition of company facilities.
    • Perform routine facility repairs and maintenance, including painting, minor cleaning, light plumbing, and repair of faulty equipment.
    • Identify maintenance concerns and coordinate outside vendors when specialized repairs are required.
    • Ensure required building inspections are completed and deficiencies are addressed promptly.
    • Coordinate fire alarm, fire suppression, and sprinkler system inspections.
    • Order dumpsters and coordinate scheduled and unscheduled waste-removal services.
    • Maintain clean, organized, and safe facility and warehouse areas.
    • Serve as the primary facility liaison for building tenants and address facility-related questions or concerns.
    • Coordinate lawn care, utilities, and other building-related services..

    Fleet Management

    • Oversee the maintenance and general condition of company-owned vehicles.
    • Perform minor vehicle repairs when appropriate.
    • Develop, implement, and maintain company vehicle policy and procedures.
    • Schedule major vehicle repairs and maintenance with approved mechanic and service providers.
    • Maintain required Department of Transportation inspections and related vehicle documentation.
    • Monitor vehicle maintenance schedules and identify vehicles requiring preventative or corrective service.
    • Assist with evaluating vehicle replacement or major repair decisions as necessary.

    Equipment Maintenance & Inventory

    • Inspect, maintain, and repair company equipment, including:
      • Drying and restoration equipment
      • Carpentry tools and equipment
      • Warehouse equipment
      • Other operational equipment
    • Maintain accurate inventory records for company-owned equipment, tools, and supplies.
    • Monitor the location, condition, and availability of company equipment.
    • Coordinate replacement or repair of damaged or non-functioning equipment.
    • Evaluate proposed equipment purchases by obtaining competitive quotations and comparing price, quality, service, and operational requirements.

    Purchasing & Supply Management

    • Order and maintain supplies for internal departments, including Contents, Carpentry, Restoration, and other operational teams.
    • Manage, Monitor, and Report inventory levels to ensure commonly used supplies remain available.
    • Coordinate delivery of materials and supplies to project locations as needed.
    • Obtain competitive pricing for significant purchases and assist management with purchasing recommendations.
    • Maintain appropriate records for purchases, vendors, and company assets.

    Security & Building Access

    • Maintain the physical security of company facilities.
    • Manage and distribute facility alarm codes and access credentials as authorized.
    • Ensure access information is updated when employees or tenants change.
    • Identify and report facility security concerns to management.
    • Reinforce company procedures related to securing loading docks, equipment areas, entrances, and other restricted locations.

    Vendor & Invoice Management

    • Maintain professional relationships with facility-related vendors and service providers.
    • Review facility invoices for accuracy and approve authorized expenses.
    • Investigate billing discrepancies and coordinate corrections with vendors as necessary.

    Leadership & Supervision

    • Supervise and provide day-to-day direction to the Facilities Technician.
    • Establish priorities and assign work based on operational needs.
    • Monitor completion and quality of assigned work.
    • Provide direction to employees temporarily assigned from other departments to assist with Facilities responsibilities.
    • Manage Facilities staff in accordance with company policies and procedures, including recruiting, hiring, onboarding, performance management, coaching, and corrective action.
    • Promote compliance with company safety, security, and operational procedures.
    • Communicate facility concerns, significant repairs, and operational needs to the Operations Director.

    Additional Responsibilities

    • Support emergency operational needs (outside normal business hours) when facility, vehicle, equipment, or supply issues could affect restoration projects or company operations.
    • Maintain organized facility, equipment, maintenance, and vendor records.
    • Participate in special projects as assigned.
    • Perform other duties and responsibilities as necessary to support company operations.


    Education & Experience

    Required

    • High school diploma or General Education Diploma (GED).
    • 5+ years of experience in managing facility maintenance, mechanical repair, fleet maintenance, construction, restoration, or a related field.
    • 10+ years of practical experience in performing equipment, vehicle, and building maintenance.
    • Proficient in Microsoft desktop tools (ie..  Outlook, Excel, Word, PowerPoint)


    Required Licenses & Certifications

    • Valid Chauffeur License.
    • Department of Transportation certification, as required for assigned responsibilities.
    • Forklift certification or license preferred.
    • Must maintain an acceptable driving record consistent with company requirements.

    Communication

    • Ability to read and interpret safety rules, operating instructions, maintenance manuals, and company procedures.
    • Ability to prepare routine reports, records, and correspondence.
    • Ability to communicate professionally and effectively with employees, vendors, tenants, customers, and management.
    • Ability to clearly communicate repair needs, safety concerns, purchasing recommendations, and operational issues.

    Mechanical & Technical Ability

    • Strong general mechanical aptitude.
    • Ability to diagnose and resolve routine facility, equipment, and vehicle problems.
    • Working knowledge of basic plumbing, carpentry, electrical, and mechanical systems.
    • Ability to safely use hand tools, power tools, ladders, and maintenance equipment.
    • Ability to determine when repairs can be completed internally and when qualified outside vendors are required.

    Mathematical & Analytical Skills

    • Ability to add, subtract, multiply, and divide using whole numbers, fractions, and decimals.
    • Ability to calculate rates, ratios, percentages, and basic cost comparisons.
    • Ability to compare vendor quotations and evaluate purchasing alternatives.
    • Ability to identify problems, collect relevant information, evaluate alternatives, and implement practical solutions.

    Organization & Decision-Making

    • Ability to manage multiple responsibilities and changing priorities.
    • Strong organizational and follow-through skills.
    • Ability to work independently with limited supervision.
    • Ability to prioritize facility, fleet, and equipment issues based on operational urgency.
    • Ability to maintain accurate inventory, maintenance, inspection, and purchasing records.


    Work Environment

    The Facilities Manager may work in office, warehouse, shop, exterior, and active job-site environments.

    Work conditions may include:

    • Wet or humid conditions.
    • Outdoor weather conditions.
    • Extreme heat or cold.
    • Elevated or potentially precarious work locations.
    • Exposure to moving mechanical equipment.
    • Occasional exposure to fumes, dust, airborne particles, and chemicals.
    • Potential exposure to electrical hazards.
    • Moderate to loud noise levels in warehouses, shops, mechanical areas, and project locations.

    Appropriate personal protective equipment and company safety procedures must be followed at all times.
