Job Purpose

Responsible for the maintenance, repair, and overall condition of all facilities, grounds, and equipment, including building systems such as electrical, plumbing, and HVAC. Ensures a safe, clean, and functional environment for animals, employees, volunteers, and the public.

This role combines hands-on technical work with coordination of vendors, contractors, and internal stakeholders to support effective facility operations, preventative maintenance, and compliance with safety standards and applicable regulations.

Essential Functions:

Facility Maintenance & Operations

  • Monitor all facilities to identify needs related to repair, replacement, preventative maintenance, and safety.
  • Identify and report safety hazards, taking corrective action within scope and escalating as appropriate.
  • Perform and/or coordinate routine maintenance and minor repairs across electrical, plumbing, carpentry, and building systems, consistent with individual skill level, training, and applicable safety standards.
  • Support the operation and maintenance of HVAC, plumbing, electrical, and building systems, including coordinating vendor support for specialized or technical work.
  • Critical Safety and scope boundary: Under no circumstances is the employee expected or authorized to perform work that exceeds their training, experience, or required licensing, or that presents a safety risk; such work must be referred to and performed by qualified or licensed professionals.
  • Perform maintenance work only within the scope of training and demonstrated competency; seek guidance or escalate work when scope is unclear.
  • Do not bypass safety devices, controls, or established procedures to complete repairs.
  • Do not perform energized electrical work, high-risk system repairs, or regulated trade work unless properly trained, authorized, and qualified to do so.

Project Work & Repairs

  • Plan, coordinate, and support construction, installation, and facility improvement projects, including electrical and IT infrastructure needs (e.g., wiring, conduit, lighting systems), within scope of role.
  • Assist in developing project estimates, timelines, and material requirements.
  • Perform welding, fabrication, painting, and general repair work as appropriate to skill level and training.
  • Repair and replace valves, fuses, filters, pipes, and fittings.
  • Clear and maintain drains, sinks, toilets, and piping systems.
  • Order and procure materials and supplies for maintenance and repair projects.
  • Maintain inventory of maintenance supplies and replacement parts.
  • Build and repair equipment, fixtures, and related items as needed.
  • Maintain the physical condition of all facilities (interior and exterior) and grounds.

Vendor & Contractor Coordination

  • Manage or collaborate in the oversight of vendors and contractor personnel to ensure safe, compliant, and high-quality service delivery, depending on service area.
  • Coordinate with vendor staff and contractor personnel to ensure work is completed safely, efficiently, and in alignment with organizational standards and applicable laws and regulations.
  • Monitor vendor performance, address service issues, and support continuity of contracted services.
  • Ensure vendors comply with contract requirements, safety expectations, and site rules while on HSSA property.
  • Coordinate and oversee the work of external vendors and contractors to ensure services are completed safely, effectively, and in alignment with organizational standards. Interaction with contractor personnel is limited to work coordination, access, scheduling, and safety expectations; the Facilities Manager does not supervise, discipline, or direct contractor employees. Clearly distinguish responsibilities between HSSA employees and vendors, ensuring staff do not perform vendor-assigned work or assist in specialized tasks outside their scope.
  • Directly oversee certain contracted programs (e.g., pest and rodent control), including vendor coordination, performance monitoring, and issue resolution.
  • Manage on-site pest control activities, including placement and monitoring of traps, tracking activity, and escalating issues as needed. When external pest control vendors are utilized, partner with the owning department to coordinate access, provide facilities-related input, provide reports, and support effective service delivery.
  • Escalate vendor performance concerns, safety violations, or compliance issues promptly.

Safety & Compliance

  • Adhere to all organizational safety practices, OSHA-related standards, and applicable regulations.
  • Identify and report hazards, prepare and retain up to date reports, and incidents in accordance with organizational procedures.
  • Maintain safe work practices at all times and stop work when unsafe conditions are present.
  • Participate in safety programs, inspections, and corrective actions as required.
  • Ensure facilities and maintenance activities support organizational safety goals and risk reduction efforts.

General Responsibilities

  • Provide customer service and professional engagement consistent with HSSA standards.
  • Drive company vehicle in performance of company business.
  • Provide day to day guidance and task coordination for maintenance staff and/or volunteers, as applicable.
  • Maintain organizational vehicles to ensure safety and reliability.
  • Perform other duties as required

Working Conditions

Work is performed across all areas of the organization, including indoor, outdoor, and workshop environments.

Potential exposure to:

  • Mechanical and electrical systems

Physical requirements include lifting up to 50 lbs, prolonged standing, bending, and working in varying weather conditions.
