Toromont Cat is seeking a Facilities Project Coordinator to join our Facilities Management and Real Estate team at Concord, ON. The Facilities Project Coordinator supports the planning and delivery of facilities and construction projects, including upgrades, renovations, and equipment installations. The role works with Construction Project Managers and Facilities teams to coordinate activities, vendors, documentation, and financial administration while owning defined workstreams. It ensures efficient project execution, maintains timelines and compliance requirements, and supports health, safety, and regulatory standards, including contractor safety protocols.

In a typical day, YOU will:

  • Support project coordination by scheduling, tracking milestones, managing work requests, and ensuring activities are completed on time; may lead smaller projects or defined workstreams.
  • Administer purchase orders, invoices, and financial tracking for operating and capital expenditures; monitor expenses, identify variances, and escalate issues when needed.
  • Coordinate contractors and vendors by scheduling work, monitoring progress, resolving daily issues, and maintaining compliance documentation.
  • Maintain CMMS and building systems data, ensuring accuracy across tracking tools, reports, and documentation.
  • Conduct basic facility inspections (HVAC, life safety, etc.), coordinate follow‑up actions, and support ongoing maintenance in line with safety and operational standards.
  • Monitor performance metrics, support reporting, identify trends, recommend improvements, and assist with security system coordination and branch upgrades.

Must-haves for this role:

  • Working knowledge of building systems (HVAC, electrical basics, fire/life safety, mechanical systems).
  • Experience with CMMS (Maximo, ServiceNow) and BAS/BMS; familiarity with project‑tracking tools (MS Project, Smartsheet).
  • Basic project management understanding (scope, schedule, budget, risk).
  • Ability to multitask and adapt in a fast‑paced environment.
  • Data and reporting skills (Excel, tracking, variance analysis).
  • Contractor coordination experience and vendor performance tracking.
  • Strong communication with contractors, vendors, and internal teams.
  • Problem‑solving ability with practical solutions.
  • Basic financial/administrative skills (POs, invoicing, tracking).
  • AutoCAD knowledge is an asset.
  • Experience with virtual building management software is an asset.
  • Bilingualism (French/English) is an asset
