Facilities Secretary
The ideal candidate will support the District's mission and vision and have the primary responsibility to provide central registration and related child accounting services for the school district.
Duties & Responsibilities:
- Perform office dutiesincluding but not limited to answering telephones, typing and distributing correspondence, preparing and transcribing mail, e-mail, reports, memos, and maintaining filing systems.
- Coordinate work of the department staff to include training scheduling.
- Prepare department reports, and purchase orders for district construction and renovation projects; coordinate vendor payments.
- Prepare and maintain department records and edit attendance records for Payroll.
- Prepare, process and maintain financial data relative to departmental operations; coordinate with vendors.
- Collaborate with contractors, vendors, insurance companies and the community relative to financial concerns, schedules, and complaints; provide appropriate response to emergency situations.
- Prepare and maintain departmental personnel data including but not limited to disciplinary records, grievances, and medical requests.
- Maintain District and Nextel telephone listings including any changes. Contact and assist the vendor in order to resolve problems with telephones.
- Process all invoices from suppliers, contractors and any utilities that supply the school district.
- Maintain district Work Order System, prepare and distribute work orders to maintenance, grounds, and custodial staff.
- Organize, record, post budget codes and submit invoices for payment.
- Prepare and track purchase orders. File with vendor/contractor invoices.
- Perform other duties as assigned by the Director of Facilities.

Education & Experience:
- High School Diploma, GED or equivalent required.
- 1-2 years of experience in secreterial work required.
- Experience in facilities, grounds, and/or building maintenance office operations desired.
- Associates Degree or Bachelors Degree desired.
Pre-employment Requirements:
- Pennsylvania Criminal Background Check, FBI fingerprinting Background Check, Pennsylvania Child Abuse Clearance
- Sexual Misconduct/Abuse Disclosure Release (ACT 168)
- Completion of Act 126 Mandatory Reporter Training
- School Personnel Health Record and TB test
Physical Requirements:
- Work scheduled hours on a consistent basis
- Indoor office environment is subject to frequent interruptions

- Dexterity of hands and fingers to operate a variety of standard office equipment

Level of Compensation:
This position's salary is determined by the collective bargaining plan for Support Staff employees. The starting salary for this position is $23.64/hour. After the completion of the 90-day probationary period, this position is eligible for a raise to bring the salary to $24.14/hour. This is a full-time, 12-month position.
