Reporting to the Senior Manager Facilities Sourcing, the Facilities Sourcing Specialist is responsible for the management and performance of our vendors, ensuring supplier diversity, overseeing the request for proposal (RFP) process and bid tabulations, and managing contracts. This role involves working closely with the supply chain team and Facilities Planning, Design and Construction leadership to negotiate and execute new and renewing contracts, ensuring compliance with organizational standards and policies.

Responsibilities:
  • Prepare and issue RFPs, RFQs, and bid packages for construction services, design consultants, and FF&E vendors.
  • Track and monitor contract compliance, vendor performance, and sourcing documentation to ensure accountability and transparency.
  • Assist in evaluating bids and proposals, ensuring alignment with scope, budget, and supplier diversity goals.
  • Maintain sourcing records, databases, and reporting tools to support audit readiness and performance tracking.
  • Collaborate with internal teams and vendors to resolve sourcing issues and ensure timely delivery of goods and services.
  • Support contract administration, including drafting, reviewing, and processing agreements and amendments.
  • Coordinate with finance and legal teams to ensure proper documentation, approvals, and compliance with institutional policies.
  • Participate in vendor onboarding and qualification, ensuring alignment with institutional standards and diversity initiatives.
  • Assist in developing sourcing schedules that align with project milestones and construction timelines.
  • Contribute to process improvement initiatives, helping to streamline sourcing workflows and enhance operational efficiency.
  • Performs other responsibilities as needed by manager.
Qualifications:

EDUCATION

  • Bachelors degree in Business Administration, Supply Chain Management, Construction Management, or a related field preferred. Associate degree and equivalent experience may be considered.

EXPERIENCE

  • A minimum of two (2) to four (4) years of experience in sourcing, purchasing, or contract administration. Experience in construction or facilities-related procurement preferred.

SPECIAL SKILLS

  • Procurement Knowledge: Understanding of bid processes, contract administration, and vendor management.
  • Attention to Detail: Ability to manage documentation and ensure accuracy in procurement records.
  • Communication: Strong interpersonal and written communication skills for working with vendors and internal teams.
  • Organization: Skilled in managing multiple tasks, deadlines, and priorities.
  • Problem Solving: Ability to identify and resolve procurement-related issues efficiently.

 

PHYSICAL DEMAND

 

Moderate physical effort: intermittent standing, walking, and reaching is required without assistance. Close computer work with intense concentration more than half of the day. Ability to discern color, ability to hear conversations and telephone communications clearly. The physical working environment will be a well-lit and ventilated office space with a work area and access to plotters, scanners, and printers. Part time working environment will require visits to construction and renovation sites. Applicant must be able to navigate sites under construction including stairs and ladders unassisted.
