Overview

The Facilities Supply & Vendor Team Lead is responsible for supporting the daily operations of the Distribution Center Facilities/Maintenance function with a primary focus on supply management, vendor coordination, invoice processing, purchase orders, and maintenance ticket system administration.

This role serves as a key point of contact between vendors, the General Manager, Facilities Manager, Maintenance team, and Facilities Assistants. The position ensures supplies are accurately inventoried, appropriately stocked, and available to support the operational needs of the Distribution Center. This role also provides daily leadership and guidance to Facilities Assistants across both shifts to help ensure consistent execution of facility support tasks.

Responsibilities/Qualifications

Key Responsibilities of a Facility Supply and Vendor Team Leader

Vendor Management & Project Coordination

  • Serve as a primary contact for facility-related vendors, gather quotes and proposals, schedule vendor visits, and maintain accurate vendor documentation.
  • Partner with the General Manager and Facilities Manager to review vendor options, pricing, project scope, timelines, and recommendations.

Supply Management & Inventory Control

  • Manage Distribution Center supply inventory by monitoring stock levels, conducting regular inventory checks, ordering and receiving supplies, and maintaining organized storage areas.
  • Track supply usage, maintain accurate inventory records, and identify opportunities to improve ordering accuracy, reduce waste, and support cost savings.

Purchase Orders, Invoices & Administrative Support

  • Complete purchase orders, code invoices, review documentation for accuracy, route approvals, and follow up on discrepancies as needed.
  • Maintain organized records for purchase orders, invoices, vendor documentation, supply records, and maintenance-related files.

Maintenance Ticketing System Support

  • Monitor the maintenance ticketing system by entering, updating, assigning, tracking, and closing tickets or work orders as appropriate.
  • Follow up with the Maintenance team on open work orders, communicate status updates, support reporting, and escalate recurring issues to the Facilities Manager.

Leadership & Daily Guidance

  • Provide daily direction, support, and guidance to Facilities Assistants across shifts to help ensure priorities, support tasks, and special projects are completed consistently.
  • Promote teamwork, accountability, safety, and clear shift-to-shift communication while partnering with the Facilities Manager on workflow concerns or process gaps.

Additional Responsibilities

  • Support facility inspections, supply audits, special projects, and operational needs as assigned.
  • Communicate professionally with internal teams, vendors, and leadership while maintaining confidentiality and following company safety standards.

Required Qualifications

  • High school diploma or equivalent required.
  • Previous experience in facilities support, inventory control, purchasing, vendor coordination, administrative support, warehouse/distribution operations, or a related area preferred.
  • Strong organization, follow-up, communication, computer, and data-entry skills, including Microsoft Office, email, and ticketing or purchasing systems.
  • Ability to manage multiple priorities in a fast-paced environment with strong attention to detail and accuracy.
  • Ability to provide daily direction and support to others in a professional manner.
  • Ability to work in a Distribution Center environment, including walking, standing, bending, reaching, and moving throughout the facility as needed.
  • Ability to lift, move, or organize up to 50 pounds within company safety guidelines.
  • Ability to use standard office equipment and work in varying temperatures or operational areas of the Distribution Center as needed.

Preferred Qualifications

  • Experience in a distribution center, warehouse, manufacturing, or facilities environment.
  • Experience with purchase order systems, invoice coding, maintenance ticketing systems, supply inventory processes, vendor management, or lead/coordinator responsibilities.
  • Strong planning, organization, time management, problem-solving, follow-up, and documentation skills.
  • Ability to compare pricing, review vendor options, summarize information for leadership, and communicate professionally both verbally and in writing.
  • Dependable, detail-oriented, proactive, and able to work independently while partnering closely with leadership and team members across shifts.
