Facilities Support Specialist

We are seeking a dependable and service-oriented Facilities Support Specialist for a part-time opportunity in Chicago, IL. This position will support day-to-day workplace operations and help maintain a safe, functional, organized, and welcoming office environment.
The ideal candidate will have experience supporting facilities, office services, property operations, hospitality, administration, or a similar customer-focused environment. This role requires strong organizational skills, attention to detail, and the ability to manage multiple requests and priorities while providing responsive onsite support.
Responsibilities
- Coordinate facilities service requests, preventive maintenance, repairs, supplies, workspace needs, and vendor activities.
- Serve as a point of contact for employees, contractors, vendors, property management, and internal leadership regarding workplace and facilities needs.
- Monitor open service requests and follow through to ensure timely resolution.
- Assist with office safety, security, emergency procedures, and workplace compliance requirements.
- Identify facilities issues, troubleshoot routine concerns, and escalate safety, security, or operational risks when appropriate.
- Coordinate office and break room/kitchen supplies and help maintain clean, organized common areas.
- Perform light custodial-related tasks as needed to support office and break room/kitchen maintenance.
- Process and track invoices, purchase requests, work orders, and other facilities-related documentation.
- Maintain accurate records and assist with facilities budget tracking and compliance requirements.
- Support workspace setups, moves, and other office-related needs.
- Respond to urgent facilities requests and changing priorities as needed.
- Protect confidential information and maintain a professional, customer-service-focused approach.
Qualifications
- Prior experience in facilities, office services, property operations, hospitality, administration, or a comparable customer-support environment.
- Strong customer service, interpersonal, written, and verbal communication skills.
- Ability to work effectively with employees, leadership, contractors, vendors, and property management.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Practical problem-solving skills and sound judgment, including the ability to identify issues, escalate risks, and follow through to resolution.
- Working knowledge of office safety, security, emergency procedures, and general workplace policies and practices.
- Proficiency with Microsoft Office.
- Ability to learn work-order, purchasing, and other facilities-related systems.
- Strong attention to detail when maintaining records, processing invoices or purchase requests, and tracking work.
- Ability to work independently while collaborating effectively with others.
- Dependable and able to provide consistent onsite support.
Physical Requirements
- Ability to walk throughout office areas and perform bending, stooping, pushing, and other routine physical activities.
- Ability to lift up to 50 lbs.
- Ability to sit for extended periods and perform computer and typing-related tasks.
- Ability to perform occasional custodial-related duties involving office and break room/kitchen areas.
- Ability to respond to urgent workplace or facilities needs when required.
