    Facility Operations Coordinator Summary

    The Facility Operations Coordinator provides administrative and operational support to ensure the efficient day-to-day operation of the facility. This role is responsible for coordinating inbound and outbound shipments, maintaining shipping and compliance documentation, supporting payroll and purchasing processes, tracking inventory, and assisting with shipping and receiving activities. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while ensuring accuracy, regulatory compliance, and excellent customer service.

    Qualifications

    • High school diploma or equivalent required.
    • 3-5 years of administrative, operations, logistics, or facility support experience.
    • Experience with shipping, receiving, inventory, or transportation coordination preferred.
    • Knowledge of payroll reconciliation and general office/accounting processes.
    • Working knowledge of DOT regulations, manifests, placarding, and labeling preferred.
    • Experience with Kronos Payroll System is a plus.
    • Proficient in Microsoft Office, including Excel and Word.
    • Strong organizational, communication, and time management skills.
    • Excellent customer service and problem-solving abilities.
    • Ability to work independently while supporting multiple departments.
    • Ability to lift up to 10 lbs. occasionally.
    • Ability to sit for extended periods and use a computer throughout the workday.

    • Assist with shipping and receiving activities for inbound and outbound loads.
    • Inspect manifests and shipping documentation for accuracy and regulatory compliance.
    • Coordinate outbound transportation and maintain outbound shipping records.
    • Investigate and resolve missing shipments or documentation discrepancies.
    • Maintain and reconcile container inventory and discrepancy reports.
    • Support weekly payroll reconciliation and purchasing card (P-Card) reconciliation.
    • Prepare, maintain, and distribute facility compliance and operational reports.
    • Track inventory of office supplies and coordinate replenishment as needed.
    • Maintain accurate records and documentation to support regulatory compliance.
    • Provide administrative support to multiple facility departments.
    • Perform additional duties as assigned to support business operations.
