As a Facility Operations Manager, you play a critical role in ensuring the smooth and efficient functioning of our dental service organization. You’ll provide essential administrative and technical support to our operations team, ensuring that our processes and systems run seamlessly. This position will independently manage lease calendars, handle landlord coordination, renewal workflows, and facilities issue escalation across multiple locations.
A Day In The Life Of :
- Collaborate with the operations team to identify areas for improvement and streamline processes.
- Leasing Expertise:
- Collaborate on new leases and negotiate terms with landlords.
- Ensure favorable lease agreements for our dental practices.
- Tenant vs. Landlord Liaison:
- Act as the bridge between tenants and landlords.
- Address facility-related concerns and responsibilities.
- Facility Contract Management:
- Oversee contracts for maintenance, repairs, and services.
- Ensure compliance with regulations and standards.
- Landlord for PepperPointe properties:
- Manage relationships with property owners across our portfolio.
- Advocate for our organization’s needs.
- Vendor Relations:
- Collaborate with vendors for facility services.
- Optimize cost-effective solutions
- Conduct an audit of all insurance PSL and process insurance claims along with their associated projects.
- Rent audits
- Manage and coordinate facility-related requirements for all offices across all markets.
- Manage and coordinate projects for out-of-state markets (onboarding and offboarding’s).
- Work closely with PepperPointe’s Real Estate Project Specialist on large projects, as needed.
- Work closely with real estate partners to identify new locations, manage the offloading of old locations, and negotiate new leases.

- Experience managing multi-location portfolios (30+ sites preferred).
- Ability to juggle multiple tasks and prioritize effectively.
- Strong organizational and project coordination skills
- Experience managing vendors and third-party partners.
- Proficiency in Excel; experience with tracking tools (Smartsheet, etc.) a plus.
- Ensure accuracy in documentation and follow-through.
- Proactively address operational challenges.
- Collaborate with colleagues to achieve shared goals.
- Readiness to actively participate in new projects and provide assistance wherever necessary.
- Adaptability to thrive in a fast-paced environment and quickly switch priorities.
- Project Management Experience:
- Demonstrated success in managing projects across multiple sites, including both small and large-scale facilities.
- Proficiency in project management methodologies and practices
- Emergency Response and Insurance Claims:
- Previous experience handling emergency situations and navigating insurance claims processes.
- Leasing Expertise:
- Demonstrated extensive experience 3-7 years in leasing, including interpreting and explaining lease terms.
- CFM (certified facility management)-preferred certification
- Degree in business or construction management preferred
