Job Title: Fair CoordinatorPosition Type: Part‑Time (10-15 hours per week; overtime during fair week)Position SummaryThe Fair Coordinator is responsible for planning, organizing, marketing, and overseeing all aspects of the annual fair. This role works closely with vendors, county departments, volunteers, 4‑H, and the Fair Board to ensure successful events, exhibits, and logistics. The coordinator manages setup and takedown, oversees the rodeo ticketing system, and leads communication efforts to promote the fair to the community and surrounding areas.Work ScheduleThis is a part‑time position working approximately 10-15 hours per week throughout most of the year. During the week of the fair, weekly hours may exceed 40. Any hours worked over 40 will be compensated at the appropriate overtime rate.Key ResponsibilitiesCoordinate with vendors to secure booth spaces, manage contracts, and ensure vendor needs are met.Oversee the rodeo ticketing system, including setup, operation, and reporting.Work with county departments to ensure proper setup and teardown of fairgrounds, facilities, and event spaces.Collaborate with 4‑H to schedule events, secure animal space, and support program operations.Lead and work alongside the Fair Board to plan schedules, activities, budgets, and overall fair operations.Recruit, train, and communicate with volunteers; ensure they understand their roles and expectations.Develop and execute marketing strategies to promote the fair and its events to the community and surrounding areas.Create and distribute promotional materials, maintain online event listings, and coordinate social media and community outreach.Maintain accurate timelines, records, and communication with all stakeholders.Required QualificationsExperience in event coordination, community programming, project management, or related fields.Strong organizational skills with the ability to manage multiple tasks and deadlines.Excellent verbal and written communication skills.Ability to collaborate with vendors, volunteers, youth organizations, departments, and board members.Ability to work independently with minimal supervision.Willingness and ability to work extended hours during fair week.Basic proficiency with email, spreadsheets, scheduling tools, and ticketing or event‑management systems.Experience with marketing tasks such as social media management, community outreach, or promotional planning.Preferred QualificationsPrevious experience coordinating fairs, festivals, or community events.Familiarity with 4‑H programs and livestock requirements.Experience supervising volunteers or committees.Graphic design or social media content creation experience is a plus.
