New England Cancer Specialists (NECS) is growing, and we are seeking a full-time Clinical Systems Specialist to join our team! The Clinical Systems Specialist is responsible for the configuration, build, maintenance, training, and user support of the organization’s clinical applications, with primary focus on the Electronic Health Record (EHR) and supporting clinical software. This role drives workflow optimization, end-user adoption, training programs, and ongoing system improvements across multiple clinical platforms. The coordinator works closely with clinical leaders, IT, analytics, and operational stakeholders to ensure applications effectively support care delivery and documentation needs

NECS is a community-based private medical practice composed of 18 oncologists and hematologists serving New England from 4 different locations in Maine (Kennebunk, Westbrook, & Topsham) and New Hampshire (Portsmouth). Job Duties:

  • Serve as the primary coordinator and subject matter expert (SME) for all clinical applications, including but not limited to the EHR (e.g., OncoEMR), telehealth platforms (e.g., Willowglade), clinical pathways software, scheduling systems, and patient engagement tools.
  • Lead the EHR Super User Program, including selection, training, coaching, and ongoing development.
  • Own the design, delivery, and continuous improvement of clinical application training for staff, including onboarding, role-based instruction, and ongoing competency development.
  • Assess and redesign clinical workflows in collaboration with clinical leadership to improve efficiency, documentation quality, and system usability.
  • Build, test, and maintain EHR templates, forms, order sets, and clinical documentation tools in partnership with providers and operational leaders.
  • Support application upgrades, configuration changes, and new feature rollouts, ensuring change management processes are in place and stakeholders are properly trained.
  • Develop and maintain comprehensive training materials, quick guides, tip sheets, videos, and e-learning modules.
  • Serve as point of escalation for clinical system issues, triaging and resolving user support tickets, and escalating to IT, vendors, or the Director of Clinical Informatics as needed.
  • Analyze helpdesk ticket trends and training feedback to identify areas for improvement in user proficiency, system performance, or workflow gaps
  • Collaborate with IT and vendor partners during system implementations, interface

  • Weekend Work: may require periodic emergency response to critical outages, or pre-scheduled afterhours/ weekend project work. No set on call schedule.

Travel: Travel between NECS sites on an as needed basis is required, with mileage reimbursement available.

Required Experience:

  • Associate’s degree in health information management, Health Informatics, Nursing, or related field required. Bachelors preferred.
  • Minimum 2 years of hands-on experience supporting or training users on EHR and clinical applications, with demonstrated build/configuration responsibility preferred.
  • Experience working in an oncology, specialty, or multi-site ambulatory care environment strongly preferred.
  • Familiarity with healthcare billing workflows, prior authorizations, and documentation requirements is a plus.
  • Experience with telehealth tools, clinical pathways, and integrated care models preferred.
