About the Role

At Pinnacle Fertility, we believe that every patient’s journey to parenthood deserves a dedicated guide. As a Fertility Care Coordinator, you’ll be that guide — the primary point of contact for patients navigating one of the most personal and complex experiences of their lives.

This is an office-based, virtual-care role. You’ll work from our Scottsdale Corporate Headquarters and connect with patients entirely by phone, two-way testing, and patient portal messaging — no clinic floor, no bedside manner required. What is required: genuine empathy, sharp communication, and a passion for helping people through some of the most important moments of their lives.

Whether your background is in healthcare, customer service, education, or something else entirely, we’ll train you. Our structured 6 to 12-week onboarding program is one of the most comprehensive in the industry. You’ll learn fertility medicine, our clinical processes, and our technology platform — and you’ll be introduced to your patient caseload gradually, so you’re never overwhelmed before you’re ready.

Wat You'll Do

Once trained, your days will revolve around being an expert, advocate, and communicator for your patients,  Specifically, you will:

  • Own the patient relationship from initial consultation through treatment completion, serving as their go-to contact for every question and milestone.
  • Communicate via phone, text, and patient portal messaging to deliver lab results, medication instructions, cycle updates, and next steps — clearly and compassionately.
  • Coordinate treatment plans in close partnership with physicians, nurses, financial counselors, and lab teams to keep every piece of a patient’s care synchronized.
  • Educate patients on their individualized treatment timelines, testing requirements, and key decisions, helping them feel informed and empowered.
  • Manage scheduling, consent forms, medication orders, and outside monitoring coordination to keep each patient’s cycle on track.
  • Document all patient interactions and instructions thoroughly in our EMR (electronic medical records) system.
  • Collaborate with a supportive team of coordinators and clinical staff all working toward the same goal: exceptional patient outcomes.
  • Perform other duties and project as assigned. 

Training & Growth

We don’t expect you to walk in knowing fertility medicine — we expect you to walk in ready to learn. Our 6 to 12-week training program covers:

  • Fertility treatment fundamentals: IVF, IUI, egg freezing, genetic testing, and more
  • Clinical workflows, terminology, and our EMR platform
  • Patient communication best practices for sensitive, high-stakes conversations
  • Hands-on mentorship from experienced coordinators before you manage your own caseload

What We’re Looking For

We hire for character and train for competency. The strongest candidates bring:

  • Outstanding communication skills — you can explain complex information clearly, listen actively, and adjust your tone for different situations.
  • Genuine empathy and patience — fertility journeys are deeply emotional, and you’ll hold space for patients who are anxious, grieving, or overwhelmed.
  • Strong organizational skills — you’ll manage multiple active patient cycles simultaneously, each with distinct timelines and needs.
  • Comfort with technology — you’ll work across an EMR, patient portal, Teams, and multiple systems throughout your day.
  • A collaborative spirit — this role succeeds through teamwork with physicians, nurses, and support staff.
  • Reliability and professionalism — patients count on you, and so does your team.

A clinical background (CMA, medical assistant, nursing, social work, etc.) is a plus but is not required. A bachelor’s degree in any field is also a plus.
