Field Service Parts & Operations Coordinator

Position Summary
The Field Service Parts & Operations Coordinator is responsible for administering acceptance, warranty, and other service-related parts processes, including stocking, organizing, shipping, receiving, and inventory control. This role also supports the Field Service Manager with service administration, reporting, metrics, logs, documentation, staff coordination, and general office responsibilities.
The ideal candidate is highly organized, systems-savvy, customer-focused, and able to manage both operational and administrative tasks in a fast-paced field service environment.

Essential Functions
  1. Demonstrate and uphold company core values in all daily operations and interactions.
  2. Utilize company systems and software (Oracle, Excel, Word, PowerPoint, etc.) to process and track:
    1. Parts orders
    2. Returns
    3. Shipments
    4. Receiving
    5. Supply/inventory requirements for NY garages
  3. Monitor and maintain parts stock, logs, return forms, daily work summaries, service technician reports, repair orders (ROs), and related operational documentation.
  4. Partner with the Field Service Manager to maintain performance metrics and reporting to internal company and customer stakeholders.
  5. Support customer engagement efforts with the manager to maintain strong working relationships and team alignment.
  6. Load and unload parts shipments (bus depots, FedEx, UPS, and other carriers), ensuring safe and secure handling of parts and company property.
  7. Coordinate with Warranty and Supply Chain teams to ensure timely parts flow supporting field service technicians and customer operations.
  8. Assist with parts reconciliation and audit processes.
  9. Communicate effectively through verbal, written, and system-based reporting channels.
  10. Identify, order, and track parts needed to support bus maintenance and field service operations.
  11. Maintain working proficiency (or ability to quickly learn) technician-support tools/systems including:
    1. Vansco
    2. Vapor
    3. Cummins
    4. Allison
    5. Thermo King
  12. Demonstrate strong proficiency with typing, internet research, laptops, computers, copiers, and office systems.
  13. Maintain a professional appearance and conduct, including:
    1. Positive internal/external customer relations
    2. Accountability and self-direction
    3. High quality and ethical standards
    4. Reliability, honesty, and punctuality
    5. Flexibility for changing priorities and challenges
