About the role

Job Summary

They work closely with administrators and other employees to organize files, create correspondence and prepare reports or documents. Their job is to complete a range of clerical tasks including managing calendars, sorting mail and preparing invoices.

Responsibilities

  • Create and maintain job folders.
  • Create and maintain job cost files.
  • Retrieve, copy and distribute Backlog, meeting minutes, time summaries, job reports, and job releases
  • Process and distribute Daily Time Summaries for all active jobs. Update job costs and billing information in the Backlog spreadsheet.
  • Update billing information in the Job Log spreadsheet.
  • Process job billing upon completion of job and submit to Superintendent for review.
  • Contact millwrights as directed
  • Process per diem and mileage requests and reconcile per diem at the end of job.
  • Submit vacation pay requests for millwrights.
  • Process millwright questions concerning pay, per diem and mileage.
  • Maintain list of millwrights that call in on availability hotline
  • Schedule training for millwrights as needed.
  • Make travel arrangements for millwrights as needed.
  • Manage departmental credit cards.
  • Process applications of newly hired millwrights.
  • Maintain millwright drug test and training records.

Qualifications:

The ideal candidate will possess the following:

  • High School Diploma or equivalent.
  • Work related experience in field is required.
  • Two (2) years industry work experience preferred, including an excellent understanding of customer-focused, service-based business.
  • Good communication skills, strong organizational ability and detail orientation required.
  • Proven ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Solid computer and data entry skills, with proficiency in latest MS software.
