Job Title: Finance and Administration Director

Compensation: $140,000 - $150,000 annually
Supervision: Finance, Accounting, Administrative, and Human Resources staff
Classification: Full-time, Exempt position
Schedule: Monday-Friday; hybrid schedule (3 days onsite, 2 days remote following introductory period), with occasional evening and weekend work as needed

Position Summary:
The Director of Finance and Administration is a key leadership role responsible for the oversight, management, and day-to-day execution of FCC’s financial and administrative operations. This is a hands-on leadership role requiring both strategic thinking and active execution across finance, administration, and HR systems in a multi-site environment.

Reporting to the Executive Director, this role ensures financial integrity, operational effectiveness, regulatory compliance, and responsible stewardship of resources. The Director supports organizational decision-making and sustainability while also directly managing core financial systems and administrative functions.

Candidate Summary:
The ideal candidate brings strong nonprofit finance and operations experience, with the ability to move between leadership, systems oversight, and direct hands-on work as needed.

They are comfortable owning full-cycle financial operations, supervising staff, improving systems, and ensuring compliance while remaining actively engaged in day-to-day financial and administrative workflows. They bring sound judgment, strong collaboration skills, and the ability to manage complex, multi-site operations in alignment with organizational priorities.

Highlight of Responsibilities:
  • Provide leadership and oversight of financial and administrative operations across multiple sites, ensuring alignment with FCC's mission and strategic priorities.
  • Build and lead an engaged, accountable team through effective supervision, recruitment, workforce planning, and professional development.
  • Translate organizational priorities into departmental goals, work plans, and operational systems while identifying risks, resource needs, and opportunities for improvement.
  • Lead organizational budgeting and financial stewardship, ensuring responsible use of resources and alignment with grant and funding requirements.
  • Ensure compliance with regulatory, contractual, licensing, grant, and organizational requirements through effective policies, systems, and internal controls.
  • Collaborate across departments and represent finance and administration with staff, partners, funders, auditors, and community stakeholders.

Financial Leadership & Strategy:
  • Partner with the Executive Director to develop long-term financial strategies, annual budgets, forecasts, and organizational financial plans.
  • Provide financial analysis, reporting, and recommendations to support executive leadership and Board decision-making.
  • Lead and support finance and administrative staff, promoting accountability, collaboration, and continuous improvement.
  • Partner with department leaders to strengthen budget management, grant administration, and organization-wide financial practices.
  • Participate in strategic planning and organizational initiatives, performing other related duties as assigned.

Financial Oversight & Management:
  • Oversee all financial operations, including accounting, payroll, benefits administration, cash flow management, grant accounting, billing, collections, and financial reporting.
  • Lead the annual budget development process and monitor financial performance, variances, and forecasts throughout the fiscal year.
  • Ensure compliance with grant, donor, contractual, tax, and regulatory requirements through accurate financial management and reporting.
  • Manage audits, tax filings, vendor contracts, renewals, and required financial submissions.
  • Maintain and strengthen internal controls, accounting systems, financial policies, and procedures to support operational effectiveness.
  • Oversee contracts management and financial systems to ensure they meet organizational and funding requirements.
  • Communicate financial performance and organizational risks regularly to the Executive Director and Board of Directors.
  • Coordinate the annual audit in partnership with external auditors and the Board Finance/Audit Committee, implementing recommendations as appropriate.

Administrative & HR Oversight:
  • Oversee administrative and HR operations across all sites to ensure consistent, efficient, and compliant business practices.
  • Ensure effective administration of payroll, benefits, onboarding, scheduling, records management, and other administrative systems.
  • Develop and improve administrative and HR processes that enhance service, compliance, efficiency, and operational consistency.
  • Support staff training and adoption of organizational systems, policies, and procedures.
  • Manage relationships with external vendors, consultants, and service providers to support organizational operations.

Qualifications & Skills:
  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field required; MBA, CPA, or related advanced degree preferred
  • 7–10 years of progressive experience, including 6+ years in nonprofit finance and operations leadership; experience with City of San Francisco grant funding a plus
  • Demonstrated responsibility for full-cycle financial management, including budgeting, reporting, audits, and financial systems oversight
  • Experience working with or overseeing HR and administrative functions, including systems and compliance
  • Strong ability to translate financial information for non-finance staff and collaborate across programs and development teams
  • Strong grants management experience, including compliance and reporting across multiple funding sources
  • Experience selecting, implementing, and managing financial and administrative systems and vendor relationships
  • Commitment to staff training and building effective systems and tools across finance and administration
  • Strong analytical, organizational, and problem-solving skills with ability to prioritize in complex environments
  • Excellent communication and relationship-building skills across internal teams, leadership, board members, and external partners
  • Ability to proactively manage multiple priorities in a fast-paced, multi-site environment
  • High integrity, credibility, and alignment with FCC’s mission and values

Work Environment:
This position operates in a professional office environment with Pre-K and Afterschool Programs on site. Work is scheduled weekdays, Monday-Friday, with occasional evening/weekend work to support community events. This role routinely uses standard office equipment such as computers, phones, fax machines, photocopiers, and filing cabinets.

Physical Demands
While performing the duties of this job, the employee is regularly required to talk, hear, walk, stand, bend, kneel, and crouch. The employee must lift and/or move items over 25 pounds and, on occasion, may require lifting/carrying a child or object up to 50 pounds. This job requires extended periods of time at a computer. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
