Financial Manager & Administrator (Bookkeeping / Collections / Customer Service)
Job Overview:
We are seeking a highly organized and detail-oriented Finance Manager & Administrator to join our team. This role is essential to keeping our operations running smoothly by managing bookkeeping, collections, payroll support, and day-to-day administrative tasks while serving as a key point of contact for customers. The ideal candidate is proactive, professional, and comfortable balancing financial responsibilities with customer communication.
Key Responsibilities:
Accounting & Collections
- Manage bookkeeping tasks including invoicing, payments, and account tracking
- Follow up on outstanding balances from:
- Customers
- Insurance companies
- HOAs
- Mortgage companies
- Etc.
- Coordinate with clients and third parties to ensure timely payment
- Maintain accurate financial records and documentation
Payroll & Financial Support
- Assist with payroll processing and employee time tracking
- Support financial reporting and internal tracking as needed
Customer Service & Administrative Support
- Answer incoming phone calls and direct inquiries appropriately
- Communicate with customers regarding services, billing, and job status
- Perform general office and administrative tasks
- Maintain organized records and job documentation
- Assist with internal coordination as needed
Qualifications:
- Experience in bookkeeping and accounting
- Strong Experience using QuickBooks Online
- Strong communication and customer service skills
- Highly organized with strong attention to detail
- Ability to multitask and manage multiple priorities
- Proficiency in Microsoft Office (Excel, Outlook, etc.)
- Experience in building and maintaining budgets
- Ability to manage and guide the company’s financial performance and trajectory
Preferred Experience:
- Experience in restoration, construction, or insurance-related industries
- Familiarity with insurance claims and billing processes
