Job Details

Working closely with organizational leadership, outside accounting professionals, financial partners, donors, grant recipients, and vendors, this individual will play a central role in ensuring financial and charitable activities are administered accurately, efficiently, and with a high level of integrity and responsiveness.

Responsibilities
Finance Management
  • Oversee day-to-day financial operations, including accounts payable, bookkeeping, account reconciliations, invoice processing, and financial recordkeeping.
  • Monitor administrative budgets, prepare financial reports for leadership and the Board, and identify significant budget variances.
  • Coordinate annual audits, compliance reviews, and required financial filings in partnership with outside accounting and audit professionals.
  • Maintain accurate and organized financial records and supporting documentation.

Fund Administration
  • Administer various types of charitable funds, including establishing new funds and maintaining appropriate agreements and documentation.
  • Monitor contributions, distributions, fund balances, and applicable restrictions while maintaining accurate financial and database records.
  • Respond to routine inquiries from donors and fundholders and coordinate more complex matters with organizational leadership.
  • Maintain appropriate internal controls, financial procedures, and documentation standards.
  • Research and resolve financial or administrative discrepancies as needed.

Grant Administration
  • Process and track grant recommendations, approvals, payments, acknowledgments, and supporting documentation in accordance with established policies.
  • Communicate with donors, grant recipients, financial institutions, and other parties involved in charitable transactions.
  • Prepare grant and fund distribution materials, reports, award communications, and supporting records for leadership and Board review.
  • Maintain accurate and organized grantmaking documentation and records.

Office Operations
  • Help oversee day-to-day office operations, including vendor relationships, technology coordination, facilities, office equipment, supplies, insurance records, and filing systems.
  • Serve as a professional point of contact for visitors, phone calls, email inquiries, mailings, and other organizational communications in collaboration with administrative staff.
  • Assist organizational leadership with events, special initiatives, and other operational projects as needed.

Qualifications
Professional Qualifications
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred; equivalent education and relevant professional experience will be considered.
  • Three to five years of experience in accounting, bookkeeping, nonprofit operations, fund administration, or a related financial role.
  • Working knowledge of bookkeeping principles, financial controls, reconciliations, and sound financial recordkeeping practices.
  • Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience working with database software and bookkeeping or accounting systems.
  • Demonstrated ability to manage projects, communicate professionally in writing, and maintain accurate and organized financial records.
  • Previous nonprofit experience is preferred but not required.

  • Highly organized and detail-oriented, with a strong commitment to accuracy, integrity, discretion, and confidentiality.
  • Excellent interpersonal and communication skills with the ability to work effectively with colleagues, Board members, donors, grant recipients, vendors, and other stakeholders.
  • Self-motivated and adaptable, with the ability to thrive in a collaborative, small-office environment.
  • Ability to develop strong working knowledge of the organization’s financial systems, processes, and charitable activities.
  • Sound judgment, personal accountability, and a commitment to performing work with excellence.
