Qualifications
Prior experience in real estate brokerage accounting or operations is required
Strong understanding of commission structures, agent billing, and back-office systems
Proficiency in QuickBooks or similar accounting software
Highly organized with strong attention to detail
Ability to operate in a fast-paced, high-volume environment
Strong communication and problem-solving skills
Proven ability to manage multiple responsibilities with minimal supervision
Financial Operations
Manage agent onboarding; review and process all new agent documentation
Set up agents in back-office systems; including commission splits, fees, and payment profiles
Generate and manage agent invoices; oversee monthly billing cycles and collections
Process credit card payments; resolve declined transactions and outstanding balances
Oversee accounts payable; ensure all company expenses are properly coded and allocated
Monitor company cash flow across multiple branches; support budgeting and forecasting
Prepare monthly and mid-month financial reports; including projections and performance tracking
Assist with monthly closing and financial reconciliations
Provide ad hoc financial analysis and reporting to executive leadership
Operations & Administration
Manage inbound and outbound referral payments
Support leadership with administrative and operational coordination
Oversee front desk operations; including calls, visitors, and general inquiries
Coordinate mail, deliveries, and office logistics
Ensure office systems, equipment, and technology are fully operational
Supervise administrative and front desk staff; ensuring efficiency and service quality
Own the financial and operational backbone of the brokerage; manage agent onboarding, commission setup, billing, and collections; oversee accounts payable, cash flow, and reporting; support month-end close and executive analysis; and run day-to-day office operations including staff oversight and front desk. This role requires strong real estate accounting experience, attention to detail, and the ability to keep both finances and operations running efficiently.
