Position Summary

Salary Placement and Work Hours: This is a 12-month, full-time position. Placement will be on the E3 Salary Schedule with a range of $41,349 - $65,218, dependent on verifiable and applicable work experience and education. Placement is determined by the President and Alabama Community College System Board of Trustees Policy and salary schedule guidelines. The work week is Monday through Friday. Hours worked will be a minimum of 40 per week.

Essential Duties and Responsibilities

Job Title: Financial Aid Office Clerk

Essential Function: The primary function of this position is to provide support to Financial Aid Office personnel. The assistant is under the general supervision of the Dean of Student Services with immediate supervision by the Financial Aid Director. The employee must comply with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System, and Northeast Alabama Community College.

Duties and Responsibilities:

  • Serve as the front-office receptionist for the Financial Aid Office
  • Inform students of the guidelines governing application for financial aid and assist the students in completing the necessary paperwork including the FAFSA application
  • Maintain accurate in-house paperwork required by the College and contact students for additional informational when required
  • Counsel students and parents on available financial aid programs offered by the College
  • Coordinate with business office personnel on contacting students of unpaid balance accounts and unreconciled checks
  • Review grades on students receiving financial aid to assure they are meeting the standards of progress, and issue the standards-of-progress letters to students as appropriate
  • Run daily reports (suspense, verification, ATB, etc.), compare with student files, and make corrections or gather additional information when required
  • Run end-of-the-semester and end-of-the-year reports and update student files as needed
  • Verify that financial aid documentation is accurate
  • Create and maintain files on all financial aid records while practicing discretion and confidentiality when dealing with the financial affairs of others
  • Obtain students' last day of attendance per semester, calculate refunds/overpayments of the Title IV Funds; and distribute letters of refunds/overpayments to the students, business office, and the U.S Department of Education
  • Treat all student transactions confidentially
  • Operate the current data management system proficiently
  • Present financial aid information to new students during Student Orientation sessions
  • Cross-train and assist in all functions of the Financial Aid Office
  • Comply with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System, and Northeast Alabama Community College
  • Serve on various institutional standing committees
  • Adhere to the College's standards of professionalism and confidentiality
  • Perform additional duties that may be assigned by the supervisor and/or President

Qualifications

Required Knowledge, Skills and Abilities:

  • Proficient use of spreadsheets, databases, and word processing using such software as Microsoft Word, Excel, PowerPoint, Publisher, Access is required
  • Demonstrated skill in organization and multitasking
  • Excellent keyboarding skills
  • Ability to work and extended, flexible work schedule, including evenings and weekends when necessary
  • Effective oral, written, electronic, and other media communication skills with proficiency in the English language to convey information to the community, students, faculty, and staff
  • Knowledge of financial aid programs
  • Knowledge of office management practices and procedures
  • Ability to be discrete, sincere, confidential, and perceptive in working with students and their records
  • Ability to learn detailed procedures, thrive in an atmosphere of constant change, and handle a reasonable amount of stress
  • Ability to maintain accurate records; assemble and organize data; and prepare accurate reports
  • Ability to work well with students, college faculty and staff, and the public
  • Ability to foster a cooperative work environment
  • Knowledge of and commitment to the philosophy and objectives of the college

Minimum Required Education: Associates degree from a regionally accredited institution is required

Criminal Background Checks-In accordance with Alabama Community College System policy and procedures, the applicant chosen for employment will be required to sign a consent form for a criminal background check. Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
