The Financial Assistant is responsible for the accurate and timely processing of financial transactions supporting the Computer Store and Endpoint Services. This role ensures strong financial oversight through account reconciliation, reporting, and process improvement. The position supports operational efficiency, promotes financial transparency, and ensures compliance with institutional policies through effective collaboration and attention to detail.

Dartmouth College is looking for a Financial Assistant to support the financial operations of our Computer Store and Endpoint Services-a role where your attention to detail and process-minded thinking will make a real difference.

In this role, you'll take ownership of core financial activities: managing budgets, reconciling transactions, supporting inventory processes, preparing audits, and working across teams to ensure efficient, transparent workflows. You'll also supervise student employees and help make data-driven decisions that keep our services running smoothly.

What You'll Do:

  • Oversee financial transactions, reporting, and forecasting for the Computer Store.
  • Reconcile budgets, track spending trends, and help ensure compliance with college policies.
  • Manage billing, assist with inventory workflows, and support the CAPS equipment program.
  • Train and supervise student workers while maintaining documentation for internal audits.

What You Bring:

  • An associate's degree (or equivalent experience), plus 2-3 years in a financial or administrative role.
  • A knack for spreadsheets, accuracy, and problem-solving.
  • Strong communication and organizational skills with a team-oriented mindset.
  • Bonus points for experience with Oracle, Tableau, point-of-sale systems, or inventory management.

Required Qualifications - Education and Yrs Exp Associates plus 2-3 years' experience or equivalent combination of education and experience Required Qualifications - Skills, Knowledge and Abilities

  • Accuracy with numbers and accounting.
  • Proficiency with spreadsheet tools (e.g., Excel)
  • Strong organizational, analytical, and problem-solving skills, with attention to detail.

Preferred Qualifications

  • Experience working in an academic environment.
  • Familiarity with institutional financial systems such as Oracle
  • Proficiency with inventory or point-of-sale systems.
  • Experience supporting financial audits or implementing internal financial controls.
  • Experience managing inventory systems or retail financial workflows.

Key Accountabilities

Description

Financial and Budget Management -

  • Prepares budget reports for the Computer Store.
  • Monitors and reconciles all accounts and advises the Director on financial issues.
  • Reconciles current fiscal year budget and spending, P-card transactions/reconciliation, and adherence to college policy.
  • Prepares financial transactions related to inventory, including journal transfers, cashier deposits, and purchase orders..
  • Prepares invoices and journal transfers as they pertain to Research computing storage.
  • Develops, documents, and maintains financial processes and best practices to improve efficiency and accuracy.
  • Supports year-end financial close activities, including inventory reconciliation

Percentage Of Time 55 Description

Administrative and Program Support -

  • Assists with inventory operations, including receiving, inspecting, and organizing incoming goods; ensures accurate documentation and proper storage.
  • Provides backup support for Computer Store operations as needed.

Percentage Of Time 25 Description

Records and Information Management -

  • Maintains accurate financial and inventory records in compliance with institutional policies and retention guidelines.
  • Supports audit preparation by ensuring documentation is complete, organized, and compliant with internal and external requirements.

  • Partners with colleagues across departments to share information, strengthen workflows, and achieve shared objectives.
