Responsibilities include, but are not limited to:
  • Work closely with the Managing Partner and the Equity Partners to ensure that the daily operations of the firm run smoothly as well as to further the firm's mission and values by implementing and maintaining all firm policies, operational standards and administrative processes and procedures, as well as strategic planning efforts to ensure that firm operations are fiscally responsible.
  • Overall responsibility for the non-legal operations of the firm, which includes the following areas: the Legal Administrative Support Team, Accounting & Payroll, Human Resources, Information Technology, Marketing and Facilities Management for all locations:
  • Oversee the Accounting & Payroll functions by working closely with the Controller in the management of the following:
    • overall financial planning and financial management of the firm,
    • ensure that the monthly closing process,
    • billing,
    • account payable,
    • accounts receivable,
    • payroll,
    • budgeting and financial reporting, and
    • year-end processes, including rate changes, 1099's, information for tax accountants, coordination of audit response letters.
  • Oversee the Human Resources functions by work closely with the Director of Human Resources in management of the following:
    • maintain growth through the recruitment of quality candidates,
    • on-boarding of newly hired employees,
    • off-boarding of separated employees,
    • timely completion of employee performance evaluations,
    • rollout of annual benefits plans,
    • management of employee issues
  • Leadership of the Legal Administrative Support Team in the following:
    • management of daily operations,
    • implementation of operational processes for improvement and efficiencies,
    • oversight of Client intake and new matter opening processes,
    • oversight of File Clerk responsibilities, including county filings and file maintenance
    • oversee, scheduling and coverage support,
    • performance evaluations,
    • management of employee issue, as well as coaching and training.
  • Responsible for all Information Technology (IT) for the firm which includes:
    • Overall responsibility for the following Firm software systems, which includes administration, maintenance, and user accessibility of the following:
      1. NetDocuments
      2. TimeSolv
      3. QuickBooks
      4. Microsoft Applications, including Outlook
      5. Suti
      6. Lackner & Pro-Connect
      7. Adobe & Adobe Pro
      8. Remote Access Tools
    • management of relationships with IT support company, software and hardware vendors including sales and technical support teams,
    • ordering computer hardware and accessories,
    • renewing computer software licenses,
    • set up of computer hardware,
    • troubleshooting of IT issues on site,
    • management of firm software and hardware security,
    • management of internet and telephone network systems
  • Responsible for all facets of Facilities Management which includes the following:
    • daily management of offices,
    • oversight of Building Services staff,
    • management of relationships with landlords,
    • oversight of office expansion and buildout projects,
    • management vendor relationships including negotiation of leases, contracts, and agreements.
  • Responsible for oversight of Marketing Service Provider which includes the following:
    • Digital marketing including blogs, social media, and email marketing,
    • search engine (SEO) management,
    • seminars client events,
    • advertisements,
    • press releases,
    • marketing materials,
    • RFP responses,
    • management of website updates,
    • marketing vendor management,
    • management of marketing budget,
    • work with Director of HR on submission of firm awards applications for the following:

      • Best Law Firms
      • Inc.5000
      • Fast 50
  • Other
    • Representative of Administrative Team on Firm Leadership Council,
    • Insurance coverage management for the Firm and the Condo Association,
    • Planning Annual Firm Meeting and other firm events,
    • Assist in other Firm legal issue management as required,
    • Ad hoc reporting and project management as required.
Requirements:
  • Must have a Bachelor's degree or higher in Accounting, Finance, or Business Management.
  • Must have 5-8 years experience in operations management, including at least 3 years of supervisory experience.
  • Preferred 3-5 years accounting or finance experience, law firm or other professional services environment a plus.
  • Must be technologically skilled and proficient in Microsoft Office Suite.
  • Must have proven track record of organization skills, possess excellent analytical skills and possess attention to detail.
  • Must have the ability to prioritize, multitask and work in a team environment.
