JOB SUMMARY: Perform operational and technical support for school sites and departments in financial system use, student activity fund management, and bookkeeping practices. Assist with the planning and delivery of training programs to ensure effective system utilization. Support system administration activities, including user access, troubleshooting, and updates. Conduct compliance reviews to ensure adherence to district policies, procedures, and financial controls. Collaborate with Fiscal Services leadership to improve processes, strengthen internal controls, and maintain regulatory compliance.

Provide day-to-day support for district financial systems, including MySchoolBucks, by assisting users, troubleshooting issues, and coordinating with system vendors as needed. Daily 20%

Provide bookkeeping support to school sites, including assistance with transaction processing, reconciliations, financial documentation, and recordkeeping procedures.

Serve as a resource to school and department staff by responding to questions related to financial systems, bookkeeping practices, student activity funds, and district procedures.

Support oversight of student activity funds through transaction review, monitoring, follow-up, and communication of findings to ensure compliance with district policies, procedures, and internal control practices.

Assist the Fiscal Services Training Supervisor in delivering in-person and virtual trainings related to financial systems, bookkeeping procedures, student activity funds, and internal controls.

Support the development and maintenance of training materials, user guides, and procedural documentation.

Conduct site-level reviews of financial activity and processes to support internal control practices, identify discrepancies or compliance concerns, and provide results to supervisor/management.

Identify and communicate training gaps, common errors, and process improvement opportunities to the Fiscal Services Training Supervisor.

Assist in implementing process improvements to enhance efficiency and strengthen internal controls across school sites and departments.

REPORTING RELATIONSHIPS: This job has no direct supervisory responsibilities.

MINIMUM QUALIFICATIONS: The minimum prerequisites of formal education, professional work experience, certifications, licenses, endorsements, designations, trainings, and other criteria that a candidate must fulfill to be considered for a position. It is essential that certifications, licenses, endorsements, designations, and trainings are fulfilled, valid, and not expired.
  • Criminal background check and fingerprinting required for hire
  • Associate's degree in finance, accounting, business or related field; or an equivalent amount of experience or formal education beyond high school
  • Experience with reconciliations, transaction review, or financial recordkeeping
  • Proficient in Microsoft Office Suite, specifically Word and working knowledge of Microsoft Excel, including basic spreadsheet functions, with the ability to learn additional functionality and reporting processes through training and guidance
  • Basic knowledge of internal controls and compliance practices
  • Intermediate knowledge of business systems, processes, and procedures
  • Intermediate communication and customer service skills
  • Ability and desire to be flexible, embrace change, and learn quickly

DESIRED QUALIFICATIONS: Formal education, professional work experience, certifications, licenses, endorsements, designations, trainings, and other qualifications relevant to the position that are strongly preferred but not mandatory for a candidate to be considered.
  • Experience with MySchoolBucks or similar payment systems
  • Experience supporting or assisting with staff training
  • Experience working with ERP systems (e.g., Oracle)
  • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds
  • Familiarity with student activity fund accounting
