Join the Student Accounts team in a key administrative and fiscal role supporting student financial operations. This position coordinates financial aid disbursements and student refunds, reviews student financial records, monitors account holds, completes reconciliations and journal entries, and helps ensure the accuracy of student accounts.

The successful candidate will combine strong attention to detail, independent judgment, problem-solving skills, and a commitment to providing superior customer service to students, parents, and campus constituents.

Key Responsibilities

  • Receive, process, and post payments from students, parents, grantors, military sources, financial aid programs, third-party agencies, and other sources.
  • Process university revenue, including grants and camps/conferences, and balance cashiering activity, cash, checks, electronic payments, and credit card transactions.
  • Complete bank, financial aid, and university accounting system reconciliations and support audit and year-end close activities.
  • Review and audit accounts receivable records for accuracy and investigate discrepancies and outstanding balances.
  • Post and adjust student account charges, deposits, cancellations, deferments, payment plans, and approved tuition, housing, and meal waivers.
  • Monitor student accounts and manage enrollment, scheduling, and academic dismissal holds.
  • Post financial aid and process student refunds in accordance with federal, state, university, Title IV, and PASSHE policies.
  • Adjust student account charges and issue appropriate refunds resulting from course drops and university withdrawals.
  • Manage accounting entries and reconciliations for financial aid funding sources, identify discrepancies, and complete required journal entries and alternative loan fund returns.
  • Use Banner, TouchNet, and COGNOS reporting tools to run daily processes, analyze student accounts, and provide accurate account information.
  • Provide prompt, courteous customer service to students and other customers in person, by phone, and through email.
  • Collaborate closely with Student Accounts and Financial Aid colleagues to support a positive customer experience.
  • Initiate and pursue collections in accordance with University and Commonwealth policies and refer delinquent accounts to the Pennsylvania Office of Attorney General and third-party collection agencies.
  • Perform other related clerical accounting duties within Administration and Finance as assigned.

Minimum Qualifications

One year as a Fiscal Assistant; OR three years of experience maintaining fiscal or financial records including one year of experience involving the application of accounting or fiscal principles; OR an associate degree in accounting or business administration including or supplemented by six credits in accounting; OR any equivalent combination of experience and training.

Must have the ability to:

  • Perform detail work involving written or numerical data.
  • Make arithmetical calculations.
  • Prepare financial reports.
  • Apply and adapt established methods to financial transactions.
  • Multitask
  • Work independently and with a team
  • Maintain confidentiality.

Applicant must have excellent analytical, organizational, oral, written, and interpersonal communications skills and must be proficient in Microsoft Office including Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications

Preferred Qualifications:

  • Experience with Banner, SAP, COGNOS
  • Experience in Higher Education
  • Experience in Account Receivable and/or banking.
