Fleet Maintenance Manager

About the Role

We're seeking an experienced Fleet Maintenance Manager to oversee fleet maintenance operations across the San Francisco market. This leadership role is responsible for ensuring a fleet of approximately 65 commercial vehicles remains safe, compliant, and operational while managing preventative maintenance programs, third-party repair vendors, regulatory compliance, and maintenance budgets.

This is not a hands-on mechanic position. Instead, you'll serve as the fleet subject matter expert, making maintenance decisions, overseeing outside vendors, and ensuring the fleet operates efficiently to support a 24/7 airport operation.

Key Responsibilities

Fleet Maintenance & Operations

  • Oversee maintenance operations for approximately 65 fleet vehicles, including box trucks, catering trucks, vans, and other commercial vehicles throughout the San Francisco market.

  • Ensure all fleet vehicles remain properly maintained, licensed, inspected, and compliant with DOT, OSHA, USDA, FDA, TSA, and other applicable regulations.

  • Manage preventive maintenance schedules and monitor vehicle availability to minimize downtime.

  • Review and approve repair recommendations, determining which repairs are necessary while managing maintenance costs.

  • Track maintenance activities, work orders, approvals, inspections, and purchase orders using Fleetio and other fleet management systems.

  • Monitor GPS, telematics, dash cameras, and other fleet technologies to support operational performance.

  • Participate in operational meetings and collaborate with operations leadership to address fleet-related issues.

Vendor Management

  • Manage relationships with more than 100 third-party repair vendors, equipment manufacturers, and service providers.

  • Evaluate vendor performance and ensure repairs are completed accurately, efficiently, and within budget.

  • Provide guidance to vendors on company maintenance standards and processes.

Safety & Compliance

  • Maintain compliance with all applicable federal, state, and company safety regulations.

  • Support internal and external audits by ensuring fleet documentation and licensing remain current.

  • Promote a culture of safety and continuous improvement throughout fleet operations.

Leadership & Continuous Improvement

  • Lead fleet maintenance initiatives, process improvements, and cost control efforts.

  • Manage maintenance budgets and recommend corrective actions when necessary.

  • Partner with regional fleet leadership and operational teams to improve fleet performance and reliability.

  • Support company initiatives focused on safety, quality, operational excellence, and continuous improvement.

Qualifications

Required

  • Bachelor's degree or equivalent combination of education and experience.

  • 5-7 years of experience in fleet maintenance management, shop management, or a similar fleet leadership role.

  • Strong mechanical aptitude with the ability to evaluate vehicle repairs, maintenance priorities, and vendor recommendations.

  • Experience managing third-party maintenance vendors and repair partners.

  • Experience using fleet maintenance software such as Fleetio, MaintainX, EBIS, or similar CMMS platforms.

  • Strong understanding of preventive maintenance programs, fleet compliance, and commercial vehicle operations.

  • Knowledge of DOT, OSHA, FDA, USDA, GMP, and EPA regulations.

  • Strong leadership, communication, customer service, and organizational skills.

  • Proficiency with Microsoft Office, including Excel.

  • Ability to analyze maintenance data and make informed operational decisions.

  • Willingness to obtain a CDL within 90 days of hire if not already licensed.

Preferred

  • ASE certification, dealer certification, or technical school training.

  • Experience managing commercial fleets in transportation, logistics, food distribution, airport operations, or similar industries.

  • Experience working with regional or corporate fleet leadership teams.

  • Experience managing preventive maintenance budgets and compliance programs.
