The Fleet Materials Coordinator is responsible for overseeing the inventory and distribution of fleet, and fleet materials and parts, necessary to support fleet operations. This role ensures inventory accuracy, timely availability of critical fleet components, and efficient coordination with vendors, technicians, and internal departments to maintain optimal fleet readiness and minimize downtime. This role will be based out of our Kilgor, TX location. This role supports a 24/7 operation therefore candidates must be flexible with work schedule. Support on weekends, holidays and after hours is possible.

This role will report to the Director, National Field Operations. 

RESPONSIBILITIES

  • Maintain accurate inventory levels of the fleet and fleet-related materials.
  • Work with third party vendor fleet management systems to ensure accurate inventory and status of all fleet.
  • Conduct regular cycle counts and reconcile discrepancies.
  • Track fleet and update inventory systems accordingly.
  • Partner with procurement and/or vendors, to order equipment, and services needed for fleet repairs and maintenance.
  • Maintain positive relationships with vendors and service providers.
  • Prioritize requests for critical fleet assets.
  • Receive, inspect, and distribute fleet and fleet materials to appropriate work areas.
  • Maintain accurate records in the fleet management or inventory software.
  • Prepare reports on inventory status, usage trends, and budget adherence.
  • Ensure compliance with company policies and audit requirements.
  • Follow proper safety procedures when handling fleet.
  • Other duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent
  • 2–4 years of experience in inventory management, transportation, logistics, construction, or fleet operations.
  • Knowledge of automotive, diesel, or heavy equipment parts (preferred).
  • Proficiency with inventory or fleet management systems.
  • Strong organizational and multitasking abilities.
  • Excellent communication and vendor management skills.
  • Ability to lift 50+ lbs and work in a shop/warehouse environment.
  • Forklift certification or ability to obtain certification

Physical

Primary functions require sufficient physical ability and mobility to work in a field environment:

  • walk, stand, sit, and operate a motor vehicle for prolonged periods of time;
  • frequently stoop, bend, kneel, crouch, run, crawl, climb, reach, twist, grasp and make repetitive hand movements in the performance of daily duties;
  • carry, push and/or pull light to moderate amounts of weight (up to 50 lbs.);
  • operate assigned equipment and vehicles;
  • verbally communicate to exchange information with public;
  • see and hear in normal range with or without correction;
  • operate assigned field equipment, including handheld computer, range finder, water backpack, shovel, and traffic cone.

This role will require a general understanding and the ability to identify safety hazards and report any unsafe working conditions. The position requires active participation in safety briefings and may deliver industry-specific safety messages to a broad audience when called upon.

Pre-Qualifications

  • Applicants must pass a pre-employment drug test.
  • All candidates must possess a valid driver's license and have a good driving record.
