Purpose: The Fleet Operations Consultant works part time to help us build out stronger processes across the fleet, covering things like SOPs, safety training, vendor setup, and truck build planning. This role is advisory, meaning they are bringing expertise and extra bandwidth to the table without taking on direct authority over people or vendors
Key Accountabilities:
- SOP and Inventory Management
- Support standardization of processes and inventory practices across satellite locations, including documentation of SOP
- Identify gaps in current processes and recommend improvements
- Propose changes to inventory processes to improve accuracy and efficiency
- Truck Build & Lifecycle Planning
- Advise on plans and coordinate truck builds from spec to completion
- Support communication between vendors and internal stakeholders during builds
- Develop preventive maintenance schedules and standardize PM intervals
- Advise on equipment lifecycle decisions (repair vs. replace, age/mileage benchmarks)
- Advise on 5-year lifecycle and replacement plan for the fleet
- Support warranty tracking and claims follow-up with manufacturers and dealers
- Fleetio Data Accuracy
- Asses Fleetio data accuracy
- Recommend improvements to maintenance activities and data entry to increase accuracy and reliability of reporting
- Identify and correct recurring data or classification issues
- Support development of fleet KPIs to track uptime and maintenance costs
- Vendor Management & Cost Performance
- Assess vendor management processes and recommend improvements.
- Identify new vendors and onboard them for fleet operations and truck builds
- Monitor vendor performance and relationships over time
- Benchmark vendor pricing and identify cost-saving opportunities
- Mechanic Hiring Support
- Provide input during the hiring process for new mechanics
- Help evaluate technical qualifications and fit
- Support onboarding materials or training for new hires
Key Authorities:
· Access to Fleetio and other fleet systems needed to review data, run reports, and support classification accuracy
· Ability to help interview and assess mechanic candidates as part of the hiring process (final hiring decision remains with the Director)
· Ability to draft and propose SOPs, training materials, and the driver handbook for review and approval before rollout

Requirements:
Education
- High school diploma or GED
- Vocational or technical certification in vehicle repair preferred
Skills/Experience
- 5+ years of experience in fleet operations, fleet maintenance, or fleet management, ideally within trucking, industrial services, or a related field
- Strong understanding of DOT compliance requirements, driver safety programs, and fleet regulatory standards
- Experience developing SOPs, training programs, or process documentation in an operations environment
- Familiarity with Fleetio or similar fleet management software (work order tracking, data classification, reporting)’
- Experience working with vendors, including sourcing, evaluating pricing, and managing ongoing relationships
- Background in truck builds or specking commercial vehicles is a strong plus
- Understanding of preventive maintenance programs and equipment lifecycle planning (repair vs. replace decisions, replacement scheduling)
- Comfortable working with cost data and KPIs to identify trends and improvement opportunities
- Experience or exposure to mechanic hiring or evaluating technical trade skills
- Strong communication skills, since this role works cross-functionally with the Director, vendors, and mechanics without direct authority over any of them
- Self-directed and comfortable operating in an advisory capacity, with the judgment to know when to flag issues versus make recommendations
Work Environment:
Primarily an office setting, but includes a shop environment with exposure to excessive noise, heavy machinery, and moving equipment.
Physical Requirements:
Ability to sit or stand for extended periods at a computer, walk shop floors, and work around equipment involving exposure to noise and industrial conditions.
